Description

The Office of Constituent Services is seeking a dedicated and service-oriented Administrative Coordinator to join our team. This position plays a vital role in supporting constituents across the Commonwealth by ensuring their concerns, questions, and requests are directed to the appropriate resources within state government.

Key Responsibilities
  • Liaison Between Constituents and State Government Cabinets - Serve as the primary point of contact for constituent inquiries.
  • Review requests submitted to Constituent Services and refer them to the appropriate Cabinet or external organization.
  • Provide guidance, information, and resources as needed.
  • Use the Indigov database to track cases, make referrals, and prepare timely responses.
  • Phone Support and Resource Guidance - Receive and respond to incoming calls from constituents.
  • Determine the appropriate resource, process, or agency for each inquiry and provide clear instructions on how to submit a formal request for review.
  • Trend Tracking - Monitor patterns in constituent phone calls and correspondence to identify emerging issues or areas of concern.
  • Walk-In Support - Serve as a point of contact for constituents who visit the office in person, ensuring they receive professional, courteous, and accurate assistance.
  • Provide additional administrative or program support as needed to ensure efficient operations within the office.
  • Other Duties as Assigned
Ideal Candidate Qualifications
  • Strong communication and interpersonal skills
  • Ability to manage sensitive information with professionalism
  • Experience working in a customer-service or public-facing role
  • Strong organizational and problem-solving skills
  • Ability to learn and navigate databases or case-management systems (experience with Indigov is a plus)
