The Office of Constituent Services is seeking a dedicated and service-oriented Administrative Coordinator to join our team. This position plays a vital role in supporting constituents across the Commonwealth by ensuring their concerns, questions, and requests are directed to the appropriate resources within state government.
Key Responsibilities- Liaison Between Constituents and State Government Cabinets - Serve as the primary point of contact for constituent inquiries.
- Review requests submitted to Constituent Services and refer them to the appropriate Cabinet or external organization.
- Provide guidance, information, and resources as needed.
- Use the Indigov database to track cases, make referrals, and prepare timely responses.
- Phone Support and Resource Guidance - Receive and respond to incoming calls from constituents.
- Determine the appropriate resource, process, or agency for each inquiry and provide clear instructions on how to submit a formal request for review.
- Trend Tracking - Monitor patterns in constituent phone calls and correspondence to identify emerging issues or areas of concern.
- Walk-In Support - Serve as a point of contact for constituents who visit the office in person, ensuring they receive professional, courteous, and accurate assistance.
- Provide additional administrative or program support as needed to ensure efficient operations within the office.
- Other Duties as Assigned
- Strong communication and interpersonal skills
- Ability to manage sensitive information with professionalism
- Experience working in a customer-service or public-facing role
- Strong organizational and problem-solving skills
- Ability to learn and navigate databases or case-management systems (experience with Indigov is a plus)
