Summary
We're seeking a Payroll and HRIS Specialist with payroll expertise to support daily HR and payroll operations. This role works closely with multiple departments and is responsible for accurate payroll processing, maintaining HRIS and timekeeping data, and ensuring compliance with state and federal regulations. The position also provides reporting support, handles employee inquiries, assists with audits, and contributes to cross-functional HR initiatives.
Key ResponsibilitiesPayroll & Systems Administration - 50%
- Serve as the primary administrator for ADP modules, including HRIS, Payroll, Time & Attendance, and Reporting.
- Process regular and complex payroll cycles, including standard and supplemental earnings, deductions, incentive compensation, off-cycle payments, and expatriate payroll.
- Enter and maintain payroll-related updates, corrections, and timekeeping data.
- Collaborate with departments to resolve payroll questions related to benefits, accruals, verifications, time clocks, and user system training.
- Ensure payroll is processed accurately, on schedule, and in compliance with wage and hour regulations.
HRIS, Data Management & Reporting - 35%
- Maintain accurate employee records in the HRIS and Time/Attendance system for new hires, current staff, and terminations.
- Build and run recurring and ad-hoc reports, including payroll reconciliations and benefits-related adjustments.
- Conduct routine audits such as 401(k) contributions, FSA balances, accrual tracking, and month-end reporting required by HR and Finance.
- Verify that deductions and employee data are correctly reflected across systems.
Cross-Functional Support - 15%
- Respond to employee inquiries regarding payroll, HRIS, leave of absence, benefits, workers' compensation, and retirement plans.
- Assist with audit preparation and reporting requests from HR and Finance.
- Support management with labor cost reports, overtime analysis, and verification of employment processing.
- Research and recommend HRIS enhancements to improve department efficiency.
- Timely and accurate payroll processing in compliance with federal and state guidelines.
- Clear, responsive communication with employees, supervisors, and external vendors.
- Effective collaboration with IT on system upgrades and time clock installations.
- Accurate processing of garnishments, tax offsets, and government reporting (e.g., EEO-1).
- Proper setup and oversight of payroll requirements for new locations (taxes, unemployment, etc.).
- Ability to provide backup support to other HR functions when needed.
- Regular auditing of payroll, organizational structure, and reporting hierarchies.
- Maintain current, relevant policies for timekeeping, vacation, and travel time.
- Bachelor's degree required; an equivalent combination of education and relevant experience may be considered.
- 4-6 years of Human Resources experience required.
- 3-5 years of experience in Benefits, HRIS, or general HR support.
- 3-5 years of payroll experience strongly preferred.
- Proficient with common office software, including email, spreadsheets, databases, and word processing tools.
- Ability to analyze data, identify issues, and draw sound conclusions.
