Position Summary

The CE Ops Project/Program Manager will provide high-level operational, financial, and project management support across U.S. Customer Engagement Operations (CE Ops). This role is responsible for end-to-end workflow execution supporting speaker programs, advisory boards, vendor contracting, purchase orders, accruals, and compliance‑aligned operational processes.

The contractor will act as a key liaison between CE Ops, Compliance, FP&A, Procurement, IT, and external partners. The ideal candidate is highly organized, detail‑driven, process‑oriented, and comfortable navigating complex enterprise systems in a compliance‑heavy environment.

Key Responsibilities Financial & Contracting Operations
  • Manage CE Ops financial processes including monthly accruals, finance reporting, vendor invoice tracking, and PO status monitoring
  • Partner with FP&A on monthly and quarterly financial submissions
  • Submit Work Orders (WO) and Change Orders (CO) through CPAF (Commercial Project Approval Form) system
  • Review and approve PO requests ensuring accuracy of GL codes, WBS codes, and cost centers
  • Partner with Procurement to secure PENs for engagements exceeding $250K
  • Track PO lifecycle and initiate manual PO closures through SPARC when required
  • Coordinate with IT on vendor data security assessments including PIAs and ITSAs
Speaker Program & Venue Review Operations
  • Manage end-to-end Venue Review process for speaker programs
  • Review and triage venue submissions via Smartsheet
  • Apply compliance and business rule criteria consistently
  • Maintain and update Approved and Do‑Not‑Use venue lists
  • Request updates in Centris and communicate changes to IQVIA
  • Issue venue approval or denial notifications using approved templates
  • Partner with Compliance to ensure alignment with current business rules
  • Recommend and implement process improvements to streamline venue review workflows
Advisory Board & Consulting Operations Support
  • Support HCP contracting workflows including process management and execution
  • Manage advisory board financial reporting and accrual submissions to FP&A
  • Maintain financial trackers for advisory board and consulting engagements
Cross-Functional Coordination
  • Serve as a liaison between CE Ops, Contracts, Procurement, IT Security, FP&A, and commercial operations teams
  • Partner with IT Security to ensure vendors maintain current ITSAs
  • Coordinate with IQVIA on program updates including venue changes and data requirements
  • Ensure compliance across all CE Ops operational workflows
Systems & Tools
  • CPAF - Contract and work order submissions
  • SAP ERP - PO tracking and invoice approvals
  • Smartsheet - Venue submission workflows
  • Centris - Speaker program venue management
  • SPARC - Manual PO closures
  • SharePoint - Budget trackers, ITSAs, and operational documentation
Qualifications

Required Qualifications
  • 6+ years of project or program management experience, preferably in commercial operations, medical operations, or compliance‑driven environments
  • Strong experience with financial operations including POs, accruals, vendor management, and contracting workflows
  • Proven ability to manage multiple concurrent workflows in a fast‑paced, cross‑functional environment
  • Exceptional attention to detail and documentation accuracy
  • Strong written and verbal communication skills with the ability to produce compliance‑ready communications
  • Proficiency with Smartsheet, SAP or similar ERP systems, and enterprise workflow tools
Preferred Qualifications
  • Experience working within pharmaceutical or biotechnology organizations
  • Familiarity with speaker programs, HCP contracting, and compliance‑regulated processes
