The Payroll Coordinator plays a critical role in delivering accurate, timely, and compliant full-cycle payroll processing. This position partners closely with operational leaders and the Human Resources team to ensure timekeeping, labor reporting, wages, and deductions are administered in accordance with multi-state payroll laws and company policies. The ideal candidate is detail-oriented, tech-savvy, and committed to exceptional service.
Key Responsibilities
- Process accurate and timely weekly and bi-weekly full-cycle payroll for approximately 700 employees across multiple states.
- Partner with operations leaders to ensure hourly and salaried employees are paid correctly each pay period.
- Manage and execute garnishment processing, tax reporting, payroll reconciliations, and audit activities while maintaining strict confidentiality and professionalism.
- Process payroll using Spectrum, with settlements and tax filings handled through ADP Smart Compliance.
- Review and validate timecard data and employee record changes within Traqspera and Oildex.
- Verify retroactive pay calculations for accuracy.
- Maintain payroll accuracy through audit reporting, data analysis, and close collaboration with payroll team members and people managers.
- Prepare on-demand checks for terminations, retro adjustments, and other immediate disbursements.
- Reconcile employee deductions, including union dues and other recurring deductions.
- Administer wage garnishment orders in compliance with federal and state regulations.
- Assist with the preparation of certified payroll reports.
- Generate payroll reports, including earnings, hours worked, taxes, benefits, leave balances, and 401(k) contributions.
- Provide friendly, timely, and accurate support to employees regarding pay-related questions.
- Ensure payroll processes comply with federal, state, and local wage and hour laws and tax regulations.
- Support the setup, testing, and ongoing maintenance of payroll systems within Spectrum.
- Balance current payroll tax amounts with year-to-date W-2 totals and identify/resolve variances to minimize year-end corrections.
- Assist the Payroll Manager with quarterly and annual state and federal tax filings, including W-2 preparation.
- Support year-end payroll and tax activities, including reconciliation, audits, and reporting.
- Perform other payroll or administrative duties as assigned.
- Travel up to 10%
- Experience working in an ERP system such as Spectrum/Viewpoint.
- Maintain confidentiality and handle sensitive information appropriately.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Ability to act with integrity, professionalism, and confidentiality.
- Strong proficiency in MS Office - Teams, Word, Outlook. Advanced Excel skills - including pivot table, v-look up, and some linking skills.
- Detailed-oriented and able to multitask in a fast-paced environment.
- Must have high integrity and handle HR & payroll information with high confidentiality
- Solid understanding of federal and state payroll regulations and requirements, as well as payroll best practices and HR policies
- Associate degree, preferably in Business Administration, Finance, or Accounting; or
- At least 3 years of experience administering payroll in a high volume, multi-state, multi-company, union environment.
- Payroll Certification, such as CPP, is a plus.
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 15-25 pounds at times.
