Position: Executive Assistant for Head of Client Services

  • Support SLT priorities & workflow management
  • Direct support for the Office of the Head of Client Services
  • Maintain priorities for Head of Client Services
  • Foster Collaborative Relationship with Client Services Department
What will you be doing in your role?
  • Understand SLT priorities and tasks needed to meet them.
  • Work with Executive Assistant’s to provide consistent, comprehensive support for all of SLT.
  • Orchestrate complex calendars, meetings, travel, and communication flows to ensure SLT are always prepared, informed, and operating efficiently.
  • Provide needed support of large events and projects.
  • Represent the Office of the SLT with professionalism at all times especially when greeting guests.
  • Uphold strict confidentiality.
  • Ensure that notes are accurate and commitments and decisions are executed, track action items.
  • Develop processes to stay on top of your responsibilities.
  • Submit needed transaction reports and address all admin responsibilities in a timely and accurate fashion.
  • Maintain all files, ensuring all are organized and up to date.
  • Complete tasks with a high degree of attention to detail.
  • Maintain a strong working knowledge of all CCFW programs and services.
  • Proactively set up meetings to address participants’ needs and anticipated challenges.
  • Provide high-level administrative, scheduling, communication, and workflow support to ensure the Office of the HCS operates efficiently, stays focused on priorities, and is fully prepared for meetings, decisions, and deliverables.
  • Stay two steps ahead of scheduling needs and conflicts.
  • Stay in sync with executives on their priorities and where they need to focus their time, become the gatekeeper of the Head of Client Services office.
  • Manage communication flow with Client Services directors and managers, organize necessary check ins & meetings.
  • Ensure inquiries and requests from internal and external stakeholders are routed appropriately and addressed in a timely manner.
  • Maintain clear communication and leadership support for administrative help at program level.
  • Provide administrative support for all EOS meetings.
Are you the next Executive Assistant for Head of Client Services?
  • High school diploma required with 3+ years of experience supporting senior leadership or executive-level leaders in a fast-paced, professional environment.
  • Associate’s or Bachelor’s degree in Business Administration or a related field preferred.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint; comfort with digital collaboration and reporting platforms.
  • Exceptional written and verbal communication skills in English, with the ability to draft professional correspondence, summaries, and presentation materials.
  • Strong organizational skills, attention to detail, and the ability to manage multiple competing priorities with initiative and minimal supervision.
