Work Schedule: Monday–Friday, 8:00 AM – 5:00 PM (40 hours/week, with occasional overtime during peak event periods)

Compensation: $27.00 – $29.00 per hour

Job DescriptionAddison Group is hiring an Events Coordinator on behalf of our client to support the end-to-end coordination of corporate meetings, conferences, and events. This role is ideal for a highly organized professional who thrives in a fast-paced environment and enjoys managing logistics, timelines, and vendor coordination. This is a fully onsite position that works closely with internal teams and external partners to ensure seamless event execution.
Key Responsibilities- Coordinate and execute corporate meetings, conferences, and events in partnership with internal stakeholders
- Establish timelines, expectations, and deliverables for each event to ensure successful execution
- Manage logistics including venue coordination, room setups, catering, lodging, and transportation
- Prepare and maintain event documentation such as banquet event orders (BEOs)
- Communicate with venues, vendors, and service providers to confirm details and resolve issues
- Track and reconcile event-related expenses, including petty cash management
- Serve as a point of contact for event-related inquiries via phone and email
- Support large-scale annual conferences, including registration materials, mailings, welcome packets, and shipment of event supplies
- Coordinate trade show participation, including booth logistics, staffing needs, and on-site setup
- Assist with general administrative tasks and provide backup support to other team members as needed
- Maintain a high level of customer service and professionalism when interacting with internal teams and external partners
- 3+ years of experience coordinating events or meetings (corporate or field-based)
- High School Diploma or equivalent
- Proficiency with Microsoft Office Suite and event registration tools (experience with platforms such as Cvent is strongly preferred)
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Reliable transportation for occasional local errands related to event setup or supply coordination
- Willingness to travel up to 10% annually or less
- Associate or Bachelor’s degree
- Meeting or event planning certification
