The Parts & Tire Coordinator role plays a critical part in supporting the reconditioning operation by owning tire ordering, parts requests, tracking, and coordination across Service, Body Shop, and Reconditioning departments. This position serves as a central point of contact between internal teams, purchasing, and third-party vendors to ensure parts and services are delivered accurately, on time, and cost-effectively. This role requires strong organizational skills, attention to detail, and proactive communication to keep units moving efficiently through the reconditioning process.

• Onsite - Fort Wayne, IN

• Hourly rate of $25.00, plus overtime and employee benefits that start day one

• Monday through Friday 6:00 AM to 2:30 PM

• Coordination and Tracking:
  Ownership of all tire and parts ordering for reconditioning, service, and body shop operations at the Fort Wayne location.
• Place tires in units or on storage racks when they arrive. Update the scheduler with notes of when tires/parts are ordered and received.
• Submit timely and accurate parts requests to Purchasing and monitor orders through delivery.
• Update scheduling systems with clear notes on when tires/parts are ordered, received, and installed to support production flow.
• Invoice & System Processing:
  Complete first-level invoice approvals in Dooap on behalf of reconditioning leads.
• Create, process, and maintain Purchase Orders (POs) and Dooap records for all tires.
• Supplier Management:
  Aid in the development and management of the supply base.
• Assist in negotiating and settling issues with suppliers, including quality damage claims, rejections, returns, over shipments, and cancellations.
• Serve as the primary point of contact for third-party windshield replacement vendors, including communication, scheduling, and issue resolution.
• Handle communication and coordination for third-party interior repair services, ensuring work is scheduled, completed, and documented correctly.
• Relationship Building:
  Collaborate and develop strong relationships while facilitating effective communication across the business.
• Engage with external business partners to ensure a seamless linkage of supply chain processes.
• Attention to Detail and Customer Service:
  Demonstrate high attention to detail, follow-up, and a strong commitment to customer service both internal and external.
• Support negotiation and problem-solving skills, including conflict resolution.
• Customer Service Excellence:
  Provide excellence in both internal and external customer service.
• Collaborate with internal teams to understand their needs and ensure a high level of satisfaction. Interact professionally with external suppliers, fostering positive and long-lasting partnerships.

MUST HAVE

• Minimum of 2 years of experience in automotive or related field.
• High school diploma or equivalent.
• Strong knowledge of automotive parts and components.
• Excellent negotiation skills to secure favorable terms with suppliers.
• Strong analytical skills to assess market trends and supplier performance.
• Detail-oriented with strong organizational and time management skills.
• Ability to work independently and as part of a team.
• Effective communication skills, both verbal and written.
• Proficient in Microsoft Office Suite, particularly Excel.
• Strong problem-solving skills and ability to adapt to changing priorities.
• Commitment to continuous improvement and professional development.

• NICE TO HAVE
• Associate’s degree in business, supply chain management, or related field.
• Experience with ERP systems.
• Knowledge of automotive aftermarket industry and trends.
