C. Scheele D.D.S. & Associates, PC is seeking an enthusiastic Full‑Time Lead Front Desk Coordinator to join our team. This role is responsible for leading, coordinating, and supervising front desk operations and staff, while remaining actively involved in daily front desk duties. The Lead Front Desk Coordinator plays a critical role in delivering an exceptional patient experience, supporting team communication, and ensuring smooth front office workflow.

This position provides front desk leadership and oversight.

The ideal candidate is professional, compassionate, highly organized, and an excellent communicator. This individual sets the standard for front desk performance, patient interactions, and teamwork. As a working lead, they guide and support front desk staff while collaborating closely with clinical team members. Patient care and meeting patient needs are the top priorities for all employees.

  • Tuesday 8:00 AM - 5:00 PM
  • Thursday 7:00 AM - 3:00 PM

Requirements
  • Front Desk Leadership & Supervision
    • Provide daily oversight and guidance to front desk team members
    • Serve as a lead resource for front desk questions, workflows, and problem‑solving
    • Assist with training and onboarding of new front desk staff
    • Ensure front desk policies, procedures, and service standards are consistently followed
    • Support scheduling coordination and coverage at the front desk as needed
  • Greet patients and visitors in a friendly, professional, and welcoming manner
  • Serve as a primary point of contact for patient questions and concerns
  • Set the standard for exceptional communication and patient care
  • De‑escalate concerns and collaborate with clinical staff to resolve issues effectively
  • Appointment & Schedule Management
    • Schedule and coordinate patient appointments based on provider availability
    • Send appointment reminders and confirm upcoming visits
    • Manage cancellations and rescheduling
    • Ensure re‑care appointments are consistently booked
    • Follow up with patients regarding unscheduled treatment plans
  • Maintain accurate and up‑to‑date patient records
  • Manage patient registration, check‑in, and check‑out processes
  • Verify insurance information and eligibility
  • Collect and post patient payments
  • Participate in and oversee front desk collections of aged receivables
  • Team Coordination
    • Communicate effectively with dental assistants, hygienists, and providers
    • Ensure smooth handoffs between front desk and clinical teams
    • Support overall office efficiency through proactive coordination
Qualifications
  • Previous experience in a dental front desk role required
  • Prior lead or supervisory experience strongly preferred
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Knowledge of dental terminology, procedures, and insurance processes
  • Proficiency with dental practice management software and general office applications
  • High school diploma or equivalent
Physical Requirements
  • Ability to lift up to 15-30 pounds occasionally.
