Assistant Office Manager

Location:

Fort Wayne, Indiana

Hourly, $20-$25 an hour. (Based on experience)

Are you organized, detail-oriented, and ready to keep things running smoothly behind the scenes? Home Energy Pros is seeking a dedicated Assistant Office Manager to support our team’s success by managing financials, recruiting, and answering phones. This role is perfect for a self-starter who values accuracy, efficiency, and proactive problem-solving.

What You’ll Be Doing:
  • Customer Communication: Answer incoming and missed calls, provide friendly and professional assistance, and route inquiries to the correct department.
  • Recruiting: Writing job descriptions, post openings, screening applicants, and coordinating interviews.
  • Payroll Support: Assist the Office Manager with payroll processing.
  • Office Coordination: Keep our office organized, maintain supply inventory, and support team coordination by managing schedules and resources.
  • Administrative Support: Assist Office Manager in onboarding, managing staff records, and providing general administrative support to streamline operations.
What We’re Looking For:
  • Eye for Detail: Precision and thoroughness in every task.
  • Solid Accounting Knowledge: Basic understanding of accounting principles, with experience in managing accounts payable/receivable and reconciliations.
  • Excel and Software Savvy: Comfortable with Excel, accounting software (Quick Books or similar), and general office tools.
  • Organized and Reliable: Ability to prioritize tasks, meet deadlines, and manage time effectively.
  • Integrity and Discretion: Trustworthy with confidential information and financial data.
  • Adaptable and Resourceful: Comfortable taking on new challenges and finding efficient solutions to keep the office running smoothly.
  • Strong Communication

    Skills:

    Clear and professional when handling inquiries and assisting team members.
