Job Overview

Valtex LLC is seeking a highly organized and bilingual Construction Office Administrator to support our growing commercial construction operations in Fort Myers, FL. This essential role combines front desk responsibilities with in-depth financial, administrative, and compliance support. You'll work closely with our Controller and Operations Manager to manage project billing, accounts payable and receivable, vendor compliance, and day-to-day office operations. Key Responsibilities
  • Review and enter payables in Quick Books Online
  • Enter and match credit card receipts in Quick Books
  • Request and collect daily receipts from company cardholders
  • Assist with invoicing/accounts receivable
  • Gather invoices and reconcile vendor balance detail reports
  • Prepare vendor balance reports and mail vendor checks
  • Request and track lien releases
  • Project & Operations Support (Operations Manager):
    • Request and process Notice to Owner filings
    • Prepare and track change orders and work orders
    • Maintain project files, sub, and close-out documents
    • Collect and track subcontractor/vendor compliance documents (e.g., insurance, W-9s, lien waivers, OCIP/CCIP enrollment)
    • Ensure timely filing and organization of all project documentation
  • Office, Reception & Admin Support:
    • Answer phones, greet visitors, and manage front desk duties professionally
    • Maintain a clean and organized office environment (reception, kitchen, lavatories, etc.)
    • Handle incoming/outgoing mail and deliveries
    • Manage office supply inventory, restock areas as needed
    • Maintain digital and physical filing systems
    • Assist with onboarding new employees (safety paperwork, I-9s, new hire packets)
    • Maintain employee records, certifications, and attendance
    • Provide administrative support to project managers and leadership
    • Perform other duties as needed to ensure smooth office and field operations
Qualifications
  • 2+ years of construction office administration or bookkeeping experience.
  • Proficiency in Quick Books Online and Microsoft Office Suite
  • Strong organizational and multitasking skills
  • Excellent communication and teamwork mentality
  • High school diploma or GED required; additional training in business or accounting preferred
