Sunbelt Rentals is seeking short-term support from an experienced HR Leave Specialist.
In this role, you will administer and manage employee leave requests and workplace accommodations that require specialized attention. This includes leaves and accommodations under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), applicable state and local leave laws, as well as short-term and long-term disability programs.
This is a temporary assignment with full benefits
, expected to continue until the company completes its planned outsourcing of leave administration, anticipated around May 2026. While this assignment is not expected to extend beyond that transition, it offers an opportunity to support a high-impact function during a critical period.
Compensation for this assignment will be between $28/hr - $31.25/hr
, commensurate with the selected candidate's education and experience.
- Communicate with employees regarding their needs for leave and/or modified work schedules. Ensure that employees are aware of their responsibilities and any documentation and notice required to qualify for and to take leave.
- Administer the FMLA leave process from initial notice to return to work, including gathering and completing required paperwork, determining eligibility, issuing leave documentation, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work; relay communication between employees and their managers during leave within reason.
- Advise managers and employees on the interaction of leave laws with paid time off, short-term and long-term disability benefits.
- Oversee the return-to-work process for employees returning from extended FMLA, military leave, or other leave(s).
- Facilitate other leave requests, which may include accommodation requests or intermittent leave under the ADA.
- Collaborate with appropriate managers (HR, Employee Manager) as necessary to designate leaves and determine if requests should be approved or denied based on eligibility and other requirements.
- Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
- Maintain complete and accurate records of leave and accommodation requests in accordance with legal requirements and best practices.
- Preserve confidentiality of employee medical documentation and files.
- Maintain knowledge of applicable leave and accommodation laws including the FMLA, ADA, and state/local laws.
- Work with disability provider to ensure disability claims are filed correctly.
- Maintain tracking of employee leave information in Abentys (Leavelink) and update employee leave status in Workday in a timely manner.
- Coordinate return to work and accommodations, and assist with testing HRIS system as needed.
- Other duties as assigned.
- Bachelor's Degree or equivalent experience plus 2-3 years of administering leave of absence or related experience.
- Extensive knowledge of leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
- Ability to process multiple requests and maintain a high level of organization.
- Strong follow-through skills and ability to resolve issues in a fast-paced environment.
- Ability to communicate effectively and provide the highest level of service across all levels of the organization.
- Excellent verbal and written communication skills.
- Maintain highly confidential employee personal health information and files; ensure HIPAA compliance.
- Experience with Workday preferred.
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods, loading and unloading heavy equipment, and working in extreme weather conditions. All duties must be performed according to Sunbelt's safety policies and guidelines. Reasonable accommodations may be made to comply with ADA/ADAAA.
