Location: 1000 NW 65th Street Suite 201, Fort Lauderdale FL 33309

Work Location: On Site

Work Hours: 8:00 AM – 4:30 PM MON – FRI EST

Job Summary

The HR Assistant is an integral part of our growing HR Team. You will be responsible for providing day-to-day operational support, serving as the primary HR contact for onsite and remote employees, and collaborating on HR functions including time management, training, leading monthly HR/Supervisor meetings, managing employee relation matters, performance management, benefit administration and compliance. Help shape our company culture, enhance employee engagement, and drive growth.

This role requires a hands-on approach, extremely organized and detailed, excellent communication skills, and the ability to adapt to the evolving needs of department supervisors and employees. Other tasks may be required that are not outlined below.

Key Responsibilities Overall Daily Responsibilities
  • Prepare internal on-boarding documentation, lead all assigned department communications, and populate all prudent employee information in the HRIS system to ensure robust reporting and analytics.
  • Manage payroll and timekeeping systems as they relate to employees’ time off requests, discrepancies and any ad-hoc matters under time and attendance.
  • Audit data for integrity when requested by the HR Director.
  • Come up with solutions to better streamline processes.
  • Support the recruitment team with any and all company related items.
  • Work within Asana to develop and track tasks to ensure timely progress.
  • Attend any and all HR related meetings when requested.
  • Coordinate meetings and manage calendars for the HR department.
  • Work directly with the payroll department when requested or required.
  • Develop relationships with all employees in all States.
  • Manage company HR events when requested or required.
Performance and Learning Management
  • Manage the performance review process to evaluate employee performance using performance management software.
  • Collaborate with leaders to provide accurate and timely performance reviews.
  • Work closely with employees to answer all inquiries related to performance and learning milestones.
  • Assign training to all levels of employees and manage their progress in completing courses.
  • Collaborate with leaders to tailor courses that best fit the needs for employee growth.
  • Support the HR Director with related compensation adjustments and learning and development.
  • Work closely with department supervisors to identify training and development needs.
Benefits Administration
  • Manage benefit enrollments for employees in all States.
  • Update the HRIS benefits navigation tool with current rates and benefit offerings.
  • Assist new hires with enrollment and manage changes to benefits for current employees.
  • Communicate and educate employees about their benefits, and address concerns or questions.
  • Ensure compliance. Stay up to date on regulations and laws, and ensure the company complies with them.
  • Manage all leave requests and documentation/communication.
Employee Relations
  • Act as a point of contact for employee concerns, disputes, and grievances.
  • Support the HR Director with facilitating employee conflict resolution and engage in disciplinary actions when necessary.
  • Promote a positive and inclusive workplace culture.
Policy Development and Enforcement
  • Enforce existing company handbook policies, ensuring compliance across the organization.
  • Collaborate with the HR Director and other leadership to develop and implement new HR policies and procedures as needed.
Qualifications
  • Bachelor's degree in Human Resources Management or related field.
  • Proven experience as HR Assistant or similar role, with a minimum of 5 years related experience.
  • Extremely positive, organized, detailed, reliable, and proactive in the ability to offer solutions and be resourceful.
  • Ability to work within a fast-paced environment.
  • In-depth knowledge of HR laws, regulations, and best practices.
  • Strong interpersonal and communication skills.
  • Excellent problem-solving and conflict resolution abilities.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Flexibility to adapt to changing organizational needs.
  • HR certification (e.g., SHRM, HRCI) is a plus.
