About the Role
Boston Scientific is seeking an experienced Executive Administrator to provide high-level administrative, operational, and site management support to the LATAM President and selected members of the LATAM leadership team. This is a highly visible and trusted role requiring strong judgment, discretion, and the ability to manage multiple priorities in a dynamic, global environment.
In addition to executive support, this role serves as the primary point of contact for the Weston, FL office
, with full responsibility for day-to-day office administration and coordination. The individual will ensure the Weston location operates efficiently and provides a professional, welcoming environment for employees, leaders, and visitors.
The successful candidate will be proactive, detail-oriented, highly collaborative, and comfortable working independently with limited supervision while managing confidential and sensitive information.
Key ResponsibilitiesExecutive & Administrative Support
- Provide comprehensive administrative support to the LATAM President and designated leadership team members.
- Manage complex, high-volume calendars; proactively identify and resolve scheduling conflicts and prioritize meetings to ensure effective use of executive time.
- Coordinate complex domestic and international travel, including itineraries, agendas, transportation, lodging, and visas as required.
- Prepare, submit, and track expense reports in accordance with company policies.
- Plan, organize, and support leadership meetings, staff meetings, and functional reviews, including agenda preparation, materials coordination, logistics, attendance tracking, and follow-up actions.
- Organize and manage large internal meetings, town halls, and video conferences.
- Maintain distribution lists, organizational charts, and key administrative records for leaders and teams.
- Serve as a primary point of contact for internal and external stakeholders, exercising tact, professionalism, and discretion.
- Support onboarding of new leaders and key team members.
- Complete special projects and ad hoc assignments as required.
Weston, FL Office Administration & Site Management
- Own day-to-day management and administrative operations of the Weston office, ensuring a safe, organized, and efficient working environment.
- Coordinate office space needs, seating, conference rooms, and common areas.
- Manage office supplies, equipment, and related budgets; place and track orders as needed.
- Partner with Facilities, IT, Security, and external vendors to address site needs, maintenance issues, and service requests.
- Coordinate onsite and hybrid events, meetings, and leadership engagements held at the Weston location.
- Greet visitors and support executive and employee onsite experiences.
- Act as the local liaison to ensure alignment with corporate workplace standards and policies.
Required Qualifications
- Bachelor s Degree required.
- 5+ years of experience providing executive-level administrative support in a corporate, preferably global or matrixed, environment.
- Bilingual in Spanish and English required. Desirable Portuguese knowledge. The ideal candidate will have high proficiency in one language and willingness to further develop the other.
