Position DescriptionJob Title: Administrative Assistant
Department: Calvary Christian Academy
Reports To: Principal
Status: 12‑month, Salary Non‑Exempt
Hours: Full Time (40 hours per week)
Purpose Statement: Assist the High School Administrative team by providing office support, communication, and coordination that reflects the academy’s Christian mission.
ScopeThe Administrative Assistant serves as the office representative for the High School staff, parents, students, pastors, and external contacts.
Specific Responsibilities- Manage daily administrative tasks including phone calls, emails, schedules, filing, and mail processing.
- Coordinate appointments, calendars, and reports for the Principal.
- Maintain professional relationships with heads of school, staff, parents, and students, ensuring confidentiality and discretion.
- Assist with school‑wide events and provide guidance to staff and parents.
- Research matters affecting the school and prepare presentations, reports, and charts.
- Complete special assignments and projects as assigned.
- Coordinate HR functions such as processing applications, communicating with applicants, and working with HR.
- Serve as liaison for parent/student concerns and coordinate communications with the Principal.
- Occasionally lift up to 40 pounds and work at a computer for prolonged periods.
- Serve as Payroll Edit Manager for High School faculty and staff.
- Maintain knowledge of payroll systems (Frontline, Paycor).
- Ensure accurate attendance records for sick time and PTO.
- Collaborate with the Substitute Coordinator on substitute matters.
- Enter student conduct infractions and assign appropriate consequences.
- Prepare and submit Ministry Reimbursement, Stipend, and Professional Development requests.
- Update and post High School Morning Announcements daily.
- Prepare agendas for high school meetings, record meetings, and upload recordings to Google Drive.
- Oversee all student locker‑related tasks, including assigning combinations and maintaining master lists.
- Strong personal commitment to Jesus Christ and the Calvary Chapel Philosophy and Faith Statement.
- Spiritual maturity and gifts of administration, discernment, leadership, service, exhortation, and hospitality.
- Trustworthy handling of confidential information.
- Excellent time‑management, organizational, and multitasking skills.
- Ability to handle stressful situations professionally.
- Excellent interpersonal, written, and verbal communication skills.
- Proactive problem‑solving and decision‑making capability.
- Previous Administrative Assistant experience preferred.
- Proficiency with Microsoft Office (Word, Excel, Access, PowerPoint), Google Drive, and typing at a minimum of 60 WPM.
- Teamwork, judgment, and computer/technical skills.
Full time, 40 hours per week. Monday‑Friday, 7:30 am–4:00 pm.
