  • This is a part-time (approx. 20 hours a week), non-benefit eligible position based in-person at our Forest Grove campus. The role is scheduled for the academic year (August through May) at a set rate of $23.00 per hour.
  • This position is grant-funded; continued employment is renewable and contingent upon the availability of grant funding.
GENERAL DESCRIPTION OF POSITION

Pacific University’s TRIO Student Support Services (SSS) federal grant program supports the success of students who are first-generation, low-income and who have documented disabilities.

The project assistant will report to the director and provide administrative support to the TRIO-SSS staff as well as activity management support to TRIO-SSS student project employees and participants.

The project assistant responsibilities further include coordinating the scheduling of TRIO-SSS advising sessions; assisting TRIO-SSS student workers in their collaborative leadership of project workshops and events; managing day-to-day data input; submitting required expenditure documentation to the Business Office; and, supporting the director and advisor in performing other project functions.

ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES
  • Supports the TRIO Director and TRIO Advisor positions.
  • Processes budget items and reimbursements in a timely and accurate way.
  • Manages multiple schedules.
  • Maintains accurate records, evaluations and assessments.
  • Collaborates effectively with other staff and offices.
  • Adheres to appropriate privacy and confidentiality protocols including FERPA.
  • Actively participates in TRIO and Pacific University Student Affairs initiatives and activities.
  • Works effectively in a team environment.
  • Adheres to all requirements within the approved Department of Education grant.
SECONDARY FUNCTIONS
  • Performs other duties as assigned.
JOB SCOPE

The Project Administrative Assistant, TRIO Program operates within established university parameters and within the scope of Pacific University’s Federal TRIO Programs:
Student Support Services (SSS) Program grant from the Department of Education.

SUPERVISOR RESPONSIBILITY

This position is not supervisory in nature, however this position supervises a team of student workers across varying skill levels and manages team structure, workload distribution, and development.

REQUIRED EDUCATION AND/OR EXPERIENCE
  • Bachelors degree in any field required, or, with exceptional other qualifications, near-degree completion with a commitment to completing a bachelor’s degree while employed
  • Experience advising or mentoring students or young people, which could include peer mentor experience as a student or other student leadership roles
  • Evidence of administrative assistance capacities, such as office assistance work, tracking expenditures, working with databases, completing expense forms, and preparing reports
  • Demonstrated ability to use Microsoft Office or Google Suite applications, preferably including spreadsheets (or aptitude and willingness to learn)
  • Strong organizational skills
