Temporary - Administrative Aide – EWD Operations and Client Services
Moraine Park Technical College is seeking a Temporary - Administrative Aide – EWD Operations and Client Services on our Fond du Lac Campus. This temporary position has an expected end date of June 30, 2026. The Administrative Aide provides administrative, logistical, and customer support to ensure the smooth operation of the College’s workforce training and education services. Reporting to the EWD Operations and Client Services Manager, the role assists with contract processing, registration coordination, billing, documentation management, purchasing, reporting, and other support logistics.
The Administrative Aide plays a key role in supporting operational efficiency, maintaining accurate records, ensuring compliance with College processes, and delivering a professional, responsive experience for employers, instructors, and participants.
Responsibilities- Greet and assist visitors in person and by phone, directing them to appropriate resources based on their needs.
- Support employers, students, and instructors by resolving routine inquiries and directing questions to appropriate staff.
- Support the EWD Operations and Client Services Manager with the coordination and tracking of training contracts, purchase orders, billing documentation, and registration materials.
- Maintain accurate and timely data entry for training projects, including participant records, attendance, and course evaluations.
- Coordinate logistics for training sessions, including scheduling rooms, preparing materials and classrooms, confirming instructor needs, and ensuring technology and equipment readiness.
- Coordinate purchases of equipment, supplies, and materials needed for EWD training and operations, ensuring timely procurement and proper documentation.
- Collaborate with Registration, Finance, and Marketing to ensure efficient processes for scheduling, registration, billing, and communications.
- Assist with the preparation of reports, tracking documents, and dashboards that monitor EWD activities and performance indicators.
- Work in coordination with all areas of the College to respond to and process student requests, as requested.
- Assist with special projects, data collection, and process improvement initiatives to enhance efficiency within EWD operations.
- Knowledge of software applications, including Microsoft Office 365 (Office Suite, Teams, SharePoint, etc.).
- Excellent written and verbal communication skills to communicate clearly and effectively with end users, colleagues, and management.
- Ability to take initiative, work independently with little supervision, and make sound decisions with minimal direction.
- Strong organizational and time management skills, including the ability to prioritize special projects with routine assignments.
- Ability to establish and maintain effective working relationships with internal and external customers. Ability to collaborate and work effectively as part of a team.
- High degree of integrity and professionalism and a demonstrated ability to respect the confidentiality of information and demonstrate critical and systems thinking.
- Demonstrated ability to work effectively with diverse populations by promoting and maintaining an inclusive work environment and culture that is respectful and accepting of diversity.
- Experience providing administrative support to others.
$20.81 per hour
