Position OverviewPreventative Maintenance Coordinator – Customer Solutions team, corporate headquarters, Flowood, MS. The coordinator provides administrative, planning, and coordination support to the preventive maintenance department. Responsibilities include managing customer support agreements, work order scheduling/processing/tracking/reporting, purchase order and parts tracking, telemetry monitoring, and other department-related tasks. The role reports to the Manager of Customer Solutions.
Essential Functions, Duties, and Responsibilities- Receive and administer all preventive maintenance service-related inquiries from internal and external customers, initiating outbound contact to gather machine hours and schedule preventative maintenance appointments.
- Execute the lifecycle of preventive maintenance agreements, administering work orders from opening to closing, posting technician timecards and mileage, preparing external quotes, ordering and tracking parts, handling purchase orders, preparing invoicing, and compiling inspection reports.
- Schedule and coordinate tactical activities of the preventive maintenance service technicians (currently five), build service routes, prioritize tasks, expedite schedules, track work assignments, and provide tactical guidance to maintain established service levels.
- Provide administrative support with customer machine telemetry (Vision Link and Product Link) data downloads and related reporting.
- Update the Work-In-Process (WIP) log to track department revenue performance against goals.
- Enforce warranty and goodwill determinations in accordance with company policy and metrics.
- Participate in daily meetings with management to update on work in progress and maintain the management information system (DBS).
- Provide administrative support to the Product Support Sales Manager as needed.
- High school diploma or GED equivalent.
- 3–5 years of combined experience as a service clerk and/or service administrator in a parts sales and service shop environment.
- Ability to read and comprehend service and parts literature, safety manuals, and related publications.
- Proficiency with MS Office (Word, Excel, Outlook) and company management information systems (DBS).
- Strong verbal, written, interpersonal, and customer service skills.
- Professional telephone communication skills.
- Good problem‑solving skills, detail oriented, and high accuracy.
- Collaborative attitude toward branch personnel with a sense of urgency and commitment to exceeding customer expectations.
- Ability to multi‑task in a dynamic, fast‑paced service environment.
