Job Profile Summary
Under limited direction, this position provides management and operational support for college grants from award to close-out, to include federal, state, local, and private awards that advance the College’s mission and priorities. Ensures that grant awards are implemented in accordance with the approved grant proposal and budget and are adhering to all relevant government, College, and program-specific regulations and requirements.
Employees in this position are expected to utilize a high level of organizational, communication and critical thinking skills in addition to independent judgment in making decisions within the realm of their responsibilities. The incumbent serves as a liaison between grant project managers, College administrative units, external partners, and grantor/agency officers regarding interpretation of and adherence to regulations and requirements, the performance and fiscal management of grant projects, and desk reviews and audits.
Minimum Education- Bachelor's Degree;
Master’s degree preferred. - An equivalent combination of experience and education may be considered.
- Six years of relevant grant-related experience.
- Demonstrated ability to simultaneously manage multiple projects, develop and modify budgets, and resolve issues related to project implementation, while staying informed about and adhering to internal and external policies and procedures. Experience in working collaboratively with various groups including senior administrators, staff, faculty, federal and state officials, and community stakeholders.
- Daily - 25%:
Working closely with 30-50 grant project managers, coordinates and provides post-award services, from the receipt of a grant until grant close-out, to enhance the efficiency of grant management. Services include but are not limited to revising budgets and obtaining approvals for revisions, assisting with the development of an implementation plan, facilitating procurement processes for grant-funded contracts and purchases, tracking the personnel working on a project and getting changes in personnel approved as needed, implementing time and effort certifications, monitoring progress on objectives and deliverables, processing subaward agreements and monitoring performance of subrecipients, reviewing and approving technical reports before submission, and guiding and advising project managers.
Collaborates with other Grants Management staff and specializes in one or more areas of post-award support to ensure the efficiency and coherence of post-award support. - Daily – 15%:
Develops and maintains a thorough understanding of a wide variety of grant proposals and budgets, agency and program guidance documents, state and federal regulations, and College policies and procedures, to facilitate compliance of grant projects and reduce potential risks to the College. Provides and presents pertinent information related to regulations, policies, and processes of both the grantor and the College to grant project managers and other faculty and staff members.
Resolves management questions and issues. Collaborates with other Grants Management staff and specializes in grants and guidance of one or more agencies, including but not limited to Florida Department of Education, US Department of Labor, US Department of Education, and the National Science Foundation. - Daily - 5%:
Monitors performance periods of grants, reporting deadlines, deadlines for submission of budgets and other materials required for grant continuation, and close out deadlines. Assists project managers with meeting deadlines. - Daily - 10%:
Creates and maintains spread sheets for the purposes of collecting and organizing grant project data. Collaborates on creating systems for tracking grant project participants and verifying participants’ eligibility. Prepares data visualizations and other reports for project managers’ supervisors, senior administrators, and other staff as needed. - Monthly
