Job Description:

We are seeking an experienced Litigation Legal Assistant / Paralegal to provide high-level administrative and litigation support in a fast-paced law firm environment. This role delivers exceptional client service while supporting attorneys with case management, court filings, billing coordination, and daily litigation workflow. The ideal candidate demonstrates professionalism, integrity, strong organizational skills, and the ability to manage multiple priorities under strict deadlines.

Responsibilities
  • Provide comprehensive legal administrative support to attorneys and clients with a commitment to excellence and integrity.
  • Manage case openings, conflicts checks, records, billing coordination, training, and collaboration with firm-wide departments.
  • File pleadings and legal documents in both State and Federal courts in compliance with applicable rules of procedure and court-specific filing systems.
  • Draft, proofread, and revise correspondence, pleadings, and other legal documents with a high level of accuracy.
  • Track firm, attorney, and client expenses and process reimbursements and payments using firm software.
  • Assist with the client billing process, including entering narratives, tracking billable tasks, editing invoices, calendaring billing deadlines, and delivering invoices electronically and in paper form.
  • Calculate court deadlines and ensure attorneys and legal teams meet all filing and scheduling requirements.
  • Schedule State court hearings in accordance with court rules and procedures.
  • Coordinate client meetings, hearings, and other appointments with attorneys.
  • Maintain and manage electronic and paper case files to ensure organization and accessibility.
  • Handle incoming and outgoing mail and correspondence.
  • Answer, screen, and direct telephone calls and emails professionally and courteously.
Qualifications
  • Minimum of five (5) years of experience as a Litigation Legal Assistant and/or Paralegal in a Florida law firm.
  • Experience working in a mid- to large-size law firm environment.
  • Thorough knowledge of litigation procedures, court rules, and filing requirements.
  • Exceptional attention to detail and commitment to producing high-quality work.
  • Strong organizational and time-management skills with the ability to balance multiple assignments.
  • Proven ability to work efficiently under pressure in a deadline-driven environment.
  • Outstanding written and verbal communication skills with a client-service mindset.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Experience with law firm case management and billing software required.
  • Familiarity with iManage, Smart Time, Aderant, and Relativity is a plus.
