Job Title: Human Resources Coordinator
Reports to: Director of HR / HR Manager
Department: Human Resources
FLSA: Non-Exempt
- Coordinate and follow up on Employee of the Month / Manager of the Quarter events.
- Manage the Employee Newsletter.
- Coordinate New Hire Orientation and assist with recruiting.
- Receive applications and coordinate interviews with managers.
- Conduct security clearances for interview candidates.
- Distribute weekly employment opportunities to employees, Work-Force Agencies, and Universities.
- Provide applicants with required paperwork (drug test / background consent).
- Enter background check information into the ADP Screening and Selection Services System and follow up on results.
- Complete the new hire process, including package delivery, paperwork verification, I-9 completion, and filing.
- Enter new hire data, transfers, address changes, direct deposit, W-4 information, and salary increases in ADP.
- Post openings on Employment Opportunities bulletin boards and collect requisition forms.
- Prepare and maintain employee files; process terminations and related documentation; coordinate with Paymaster.
- Maintain Independent Contractor files and departmental records; prepare nametags.
- Handle routine employment verifications and respond to inquiries from employees.
- Stock and order office supplies; prepare invoices for HR approval and forward to accounting.
- Prepare, route, and mail birthday cards; coordinate yearly employee anniversaries and luncheons.
- Manage mail for Executive offices; respond to applicant inquiries; prepare new hire packages as needed.
- Assist with HR events and process meal key cards; reconcile related invoices.
- Collect money for lost meal cards and name tag replacements; send thank-you letters to applicants.
- Assist in processing yearly employee reviews and coordinate exit interviews; maintain return records.
- Take special event photographs and post memos/flyers as requested; general filing for the department.
- Support end-of-year trans-filing and updates to the HR shared drive.
- Perform additional duties/projects as assigned by the HR Director and HR Manager.
- Must be proficient in MS Word, Excel, PowerPoint and Outlook.
- Detail-oriented with the ability to multi-task.
- High level of confidentiality is essential.
- Excellent communication skills.
- At least 2 years of Human Resources experience is required.
- High School Diploma required.
