Overview

The Human Resources Representative processes OPS Express appointments and HR Records requests, playing a pivotal role in ensuring that each new hire’s journey at FSU begins with integrity, compliance, and care, and ensures current and past employees receive verification and records needs in a timely and accurate manner. This position reviews and approves OPS Express Job Offers for compliance with university, local, state, and federal laws and processes employment and income verification requests, public records requests, and assists loan officers in receiving the data needed to serve FSU employees.

The HR Representative’s attention to detail, sound judgment, and principled approach directly impact the university’s ability to fulfill its mission through the people it brings on board.

Beyond managing processes, this role helps shape responsible hiring and fosters institutional trust. The HR Representative works at the intersection of policy, compliance, and human connection, helping departments across campus navigate time-sensitive hiring needs while upholding the university’s standards and values. Their work helps ensure FSU remains a safe, vibrant, and well-functioning community.

Key Responsibilities
  • OPS Express Job Offers:
    • Review and process all OPS Express OMNI Job Offers to ensure job details comply with University, State, and Federal guidelines, including enforcing payroll deadlines to ensure accurate and timely pay.
    • Review appointment details and duties to determine background check requirements per University policy.
    • Launch candidate invites in Onboarding Portal and provide onboarding troubleshooting assistance.
  • HR Records:
    • Process employment and income verification requests for current and former University employees, including processing Public Service Loan Forgiveness Forms and Teacher Certification Forms, and providing related documentation as needed.
    • Assist with processing public records requests in providing access to personnel records for internal and external customers.
    • Assist in name change requests for current FSU employees.
    • Assist in imaging HR documents into employee files and conduct regular maintenance and audits to comply with federal, state, and University policies, procedures, and retention guidelines.
    • Ensure compliance with federal, state, and local regulations.
  • HR Front Desk Support:
    • Serve as backup for front desk administration support for the FSU HR suite.
    • Assist and refer visitors and callers to the appropriate HR section/contact.
    • Assist the Human Resources Fingerprinting Office to fingerprint FSU employment and volunteer candidates.
    • Assist with other projects as needed to support Employment & Recruitment Services, HR Records, Background Check Team, and HR.
  • Background Check Program Support:
    • Assist with background check programs, including processing Summer Camp background checks pursuant to statutes, DCF rules, and University policies.
    • Perform other related duties as required to support HR Records, HR Background Check Team, and Employment & Recruitment Services as needed.
Qualifications

Bachelor s degree; or a high school diploma or equivalent with four years of experience. (

a combination of post-high school education and experience equal to four years.)

  • Experience handling confidential and sensitive information such as Criminal Justice Information (CJI) and Personally Identifiable Information (PII)
