The Role at a GlanceThis position is approximately 85% administrative/data entry and 15% operational support, with occasional after-hours availability to support catering events and special functions.
Why You’ll Love This RoleAs our Food & Beverage Coordinator, you are the organizational backbone of the department. You’ll support food service, catering, and leadership through accurate financial tracking, calendar management, and hands‑on event support — all in a community where hospitality and teamwork truly matter.
Finance & Data Management (85%)- Process, code, and track all Food & Beverage invoices accurately and on time.
- Manage departmental accruals and enter financial data into community spend‑down systems.
- Collaborate weekly with Food & Beverage leadership to review spending, trends, and accuracy.
- Create invoices for all catering events, including interdepartmental and external revenue events.
- Maintain organized financial documentation to support audits and reporting.
- Own and maintain the master catering calendar for all Food & Beverage events.
- Attend weekly departmental calendar meetings to align timelines, staffing, and event execution.
- Attend monthly community calendar meetings to ensure department‑wide alignment.
- Upload, print, and distribute function sheets so teams are prepared and informed.
- Communicate event updates, changes, and special requirements clearly to all stakeholders.
- Provide on‑site support at catering events, including hosting and service assistance.
- Support dining room or grille operations during busy periods or special events.
- Assist with event setup, flow, and breakdown to ensure a polished experience.
- Provide occasional after‑hours support for evening or special catering events as needed.
- High school diploma or equivalent required.
- Experience in food & beverage, hospitality, administration, or finance preferred.
- Highly organized, detail‑oriented, and comfortable with data entry and deadlines.
- Strong communication skills and a team‑first mindset.
- Comfortable using spreadsheets, calendars, and invoicing systems.
- Senior living or healthcare experience is a plus, but not required.
