GENERAL DESCRIPTION OF DUTIES
The purpose of this position is to perform case management functions to allow the probation division to achieve its mission.

DUTIES
- Provide assistance to the Probation and/or Pretrial Release Supervisor and assist with the review, oversight and quality control of Probation and Pretrial Officers (I and II) case management practices. Act in the absence of the Pretrial or Probation Supervisor as it relates to Program operations and case management techniques.
- Attend First Appearance Court hearings daily to provide information to Court personnel in considering release decisions.
- Attend Violation of Probation Hearings weekly and provide recommendations from supervising officers.
- Review all legal documents prepared by Officers to insure accuracy, thoroughness and completeness in information prior to submitting to Supervisor for final review.
- Review of Officers default listings identifying those defendants who failed to comply with terms and conditions of sentence within the agreed upon timeframe and follow up to include noting action taken by staff to address issue.
- Assist with process and efficiency improvements by assessing current practices and offering well thought out and implementable solutions.
- Assist Officers to establish effective communication techniques with offenders by monitoring communication practices and offering guidance when needed.
- Serve as backup to all Officers and community service/work program coordinator, as well as their partner in their absence and/or as needed.
- Provide guidance and direction on all legal documents to be filed with the Courts, including orders to show cause, violation of probation, motions, notices, etc.
- Provide guidance and advice on the coordination of scheduling, daily activities and general time management.
- Provide training and review to new and rotating Officers on all new and existing office procedures and case management.
- Receipt payments from public to include verification of payment slip, collection of monies. Generate computer or manual receipt; and prepare and deliver daily bank deposit with verified financial report.
- Conduct monthly file review audits of all caseloads according to established office procedures. Prepare Review Summary and submit copy to Supervisor/Director.
- Communicate concerns or inquiries regarding Probation Officer actions or activities to Pretrial and/or Probation Supervisor or Director.
- Case Management: Interview, supervise, monitor and assess clients with multiple and complex cases, to assist in their compliance with court-ordered conditions to facilitate successful completion of their Probation or Pretrial Release. Meet with all clients in the office as required. Monitor caseload for compliance/non-compliance and enter all pertinent information in the case management system. Conduct initial interviews on all new releases immediately upon release from jail and arrival to the office.
Review all assigned clients and track changes through JIS for updates/dispositions at least twice per week and enter in the case management. Act as a liaison with other departments or agencies within the County, Criminal Justice System to assure compliance with court-ordered requirements. Complete financial profile and case management plan at initial interview, review and update at each scheduled appointment.
Maintain accuracy of case management system regarding personal information, monetary conditions, etc. Assess the client s ability to complete court ordered conditions of probation within the allotted time frame and offer guidance where needed. Based upon court approved financial profile, determine client s ability to pay all court imposed fees, including supervision fees. Input case notes within 24hours of all client contact, as well as in response to any case related activity.
Input and maintain case data to complete monthly statistics. Make all necessary referrals to counseling, mental health agencies, employment, and any other appropriate service provider. Make all court ordered referrals for court ordered special conditions (i.e. anger management, DUI school, theft class, et cetera). Supervise vacant caseloads as needed. - Monitoring and addressing violations for defendants assigned to GPS Program. Responsible for answering on-call GPS telephone communications from service provider with violation notifications of GPS client activity.
