Position Summary

The Accounting Director performs a variety of bookkeeping, administrative and community social services tasks. The Director will:

  • Provide analysis of finances relative to annual budget and program trends.
  • Collaborate with department managers/directors to cultivate agency practices, protocols, policies and procedures.
  • Manage some operations functions, including vendor contracts and insurance.
  • Perform annual audit and necessary tax documents for FISH and FISH Foundation
Supervision

Reports directly to Executive Director with guidance and direction also from the President & CEO and Treasurer. No direct reports to the Accounting Director position.

Financial

Duties and Responsibilities:
  • Manage monthly and year-end closing: journal entries, reconciliations (bank, credit card, vendor), and financial statement preparation.
  • Conduct revenue/expenditure analysis, cash flow and budget forecasting; maintain the chart of accounts and program/annual budgets.
  • Oversee accounts payable/receivable: issue invoices, record receipts, code entries, pay suppliers and debts on schedule.
  • Track and monitor fixed assets.
  • Process all donations and ensure accurate submission to the Development team.
  • Prepare financial reports for the Finance Committee, Investment Committee, FISH Foundation, and Board of Trustees.
  • Partner with leadership on financial analyses, external audits, and annual 990 filing; ensure timely filing of all required federal, state, and local documents.
  • Provide clerical and financial support to management as needed.

Grant Financial Management

  • Maintain grant reporting systems (federal, state, county, city); track expenditures against approved budgets and allowable costs.
  • Prepare timely funder reports (drawdowns, reimbursements, interim/final statements) and reconcile grant activity monthly.
  • Ensure compliance with HUD regulations, 2 CFR Part 200, and other applicable guidelines.
  • Collaborate with program staff and the Grants & Marketing Director to align financial reporting with program deliverables.
  • Implement best practices (internal controls, segregation of duties, compliance monitoring).
  • Support audits and monitoring by maintaining complete, auditable grant records
Essential Program & Services

Duties and Responsibilities:
  • Collaborate with Grants & Marketing Director to assist with Program Development Resource Manuals including outcome measurement tools.
  • Assist all Program Directors and Managers with monthly reconciliations, annual budget process, and financial grant tracking/reconciliation.
  • Provide monthly report(s) to Board and Management.
  • Provide Marketing and Grants Department with financial information as needed.
Qualifications
  • Minimum 5 years of experience in accounting/finance management, strong preference for non-profit finance and accounting.
  • Bachelor’s degree or higher preferred.
  • Ability to be self-directed and complete tasks in accordance with deadline.
  • Strong organizational and planning skills.
  • Proficient in Quick Books and Microsoft Office Suite (particularly Excel); preferred experience with case management software systems.
