Your Specific Responsibilities

This is a professional position located within the Division of Children’s Medical Services, General Operations Section. As an integral part of our operations team, this position will be responsible for overseeing various operational functions for the Section.

Duties include:

  • Drafting and updating operational manuals and guidelines for the General Operations Section.
  • Identifying areas for improvement within the operational framework and implementing changes or initiatives to enhance the quality of services provided; conducting surveys, analyzing feedback, and collaborating with other Bureaus or Sections to implement best practices.
  • Conducting in-depth analyses of budgetary allocations and expenditures to identify trends, areas of inefficiency, and opportunities for cost savings; using this information to inform budgetary decisions and optimize resource use.
  • Serve as regional leasing coordinator for CMS 14 regional offices.
  • Update annual lease agreements, process collocated cost matrixes, and prepare quarterly leasing reports.
  • Prepare monthly workman’s comp and safety reports.
  • Serve as TRAIN and SERVFL coordinator.
  • Collaborate with internal teams, including Budget, Purchasing, Contracts, and IT Systems to ensure seamless operations.
Required Knowledge, Skills, And Abilities
  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Knowledge of the methods of data collection.
  • Knowledge of the principles and techniques of effective communication.
  • Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to utilize problem‑solving techniques.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
Minimum Qualifications
  • Two years of experience in administrative or general office operations, or a related field, with a proven track record of overseeing administrative and operational functions.
  • Valid Driver’s License.
Travel Time

This position requires occasional state‑wide travel.

Preferred Qualifications
  • A bachelor’s degree in business administration, Public Administration, or a related field.
  • Familiarity with administrative operations, leasing coordination, and fiscal management principles.
