Summary
The Front Office Coordinator for the College of Law serves as the primary point of contact for prospective students, applicants, visitors, and callers. This role is critical to creating a professional, welcoming, and highly responsive admissions experience. This person manages front desk operations, communications, visit programming, and administrative support functions while assisting with events, mailings, and CRM activity to ensure the smooth daily operation of the Law Admissions Office.
Duties and Responsibilities
- Serve as the first point of contact for the College of Law Admissions Office, welcoming visitors and providing a professional and courteous experience.
- Answer, screen, and route incoming calls efficiently; take accurate messages and respond to general inquiries.
- Respond to prospective student and applicant email inquiries in a timely, professional manner.
- Provide general admissions information, directions, and guidance to prospective students.
- Coordinate and manage prospective student visits, including individual appointments, group tours, and virtual visits.
- Support admissions events, including setup, registration, materials preparation, and on-site assistance.
- Assist admissions team with follow-up communications related to visits and events.
- Input and maintain accurate prospective student and visit data in admissions CRM.
- Assist with processing incoming mail, outgoing correspondence, and admissions mailings.
- Maintain organized electronic and physical filing systems.
- Monitor and manage office supply inventory; reorder supplies as necessary.
- Train and assist in overseeing the student workforce.
- Handle confidential student and applicant information with discretion and integrity.
- Perform additional administrative duties and special projects as assigned.
- Associate's degree.
- Strong attention to detail and organizational skills.
- Ability to interact effectively with diverse populations.
- Knowledge of professional telephone etiquette.
- Ability to handle confidential information responsibly.
- Self-starter with the ability to work independently and as part of a team.
- Prior experience in higher education, admissions, or a student-facing office preferred.
- Familiarity with CRM or admissions systems preferred
- Office environment with frequent public interaction.
- Occasional lifting of up to 10-20 pounds.
- Some evening or weekend work required during peak admissions and event periods.
