Florida A&M University's Division of Strategic Planning, Analysis and Institutional Effectiveness (SPAIE) is pleased to announce the acceptance of qualified applications for the Senior Administrative Assistant vacancy.
Responsibilities
The Senior Administrative Assistant provides administrative support to the Vice President and the Office of Institutional Research and demonstrates professionalism and quality customer service in accordance with the university's values. Develop positive working relationships and maintains standards of confidentially in accordance with the university, FERPA, student records and other protected documentation;
Maintain strong technology skills including spreadsheets and presentations;
Meet deadlines;
Complete assigned project with minimal supervision;
Prioritize tasks;
Multitasks;
Analyze data;
Solve problems and makes timely decisions within the scope of the position;
Exhibit flexibility, a strong work ethic and willingness to learn;
Maintain the Vice President's calendar and communications;
Represent the division at meetings and events;
Composes and prepares correspondence; and maintains contact lists.
Complete expense and mileage reports;
Manage special projects for the division;
Manages information, conduct research, manages data to day support operations of the division;
Work closely with staff to ensure the efficient operation of the office;
Serve as liaison between the Vice President's office and other administrative areas;
Arrange training activities for staff;
Design and provide complex documents and reports;
Collect information for consultants, etc.;
Review Title III quarterly and annual reports before submission to Vice President;
Provide committees and Board of Trustees support including meeting minutes and supports DA-FAU listserv and tracking of data/report submissions; and Prepare requisitions for the purchase of equipment and supplies.
Track expenditures and ensures all expenditures are recorded and aligned with the project's goals;
Track leave requests;
Maintain inventory of equipment;
Organize program, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling the event budget;
Prepare agendas, notices and minutes for meetings;
Keep departments informed about upcoming due dates and meetings;
Record and maintain meeting minutes as needed;
Coordinate and oversee events and initiatives sponsored by the division;
Coordinate travel schedule and activities for the Vice President;
Track expenditures for E& G and Title III; and perform other related duties as assigned.
Minimum Qualifications
A High school diploma or equivalency and eight years of related experience; or a combination of post high school education and experience equal to eight years.
Recommended Competencies
Knowledge of academic resources available to students;
Ability to communicate effectively, verbally and in writing;
Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations;
Knowledge of the concept, principles and practices of management;
Knowledge of office practices, procedures, and etiquette;
Ability to prioritize, organize and perform multiple work assignments simultaneously;
Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices;
Ability to establish and maintain effective working relationships.
Preferred Qualifications
Bachelor's Degree in Secondary Mathematic Education, business administration, or related field. Demonstrated expertise in quantitive analysis, strong communication, and interpersonal skills with the ability to engage diverse stakeholders. Proficient with Micro Soft office suite.
Pay Plan
This is an USPS (University Support Personnel System) position.
Conditions of Employment
Successful candidate is subject to a pre-employment screening which includes a review of criminal records, reference checks and verification of education.
