duties and responsibilitiesthe communications office manager supports the communications office by coordinating administrative operations and facilitating a wide range of public information and internal communication activities. This role ensures the smooth functioning of daily office processes while assisting the communications director with priority correspondence, research, scheduling, and procurement tasks.
oversight of office administration:
- responsible for answering calls that come into the communications office and fhp public affairs main line.
- prepare and organize agenda items for meetings involving communications office staff and partner offices.
- maintain office supplies, subscriptions, and shared account credentials.
- support the execution of purchase orders for public safety campaigns.
- keep and track communications office inventory, including state property hardware and devices.
- monitor office budget lines and track expenditures.
- organize travel for members of the communications office and facilitate the completion of necessary forms.
- disseminate incoming and outgoing mail.
- compile and distribute the daily media call list to executive leadership.
- provide other general office management duties.
development and facilitation of department correspondence:
- formulate responses for approval to inquiries received from the eog, cabinet agencies, and members of the legislature.
- conduct research of statutes, policies, and/or procedures to obtain necessary information in developing correspondence.

knowledge, skills, and abilities- knowledge of administrative and clerical procedures.
- knowledge of general office procedures and practices.
- skill in preparing accurate and complete written reports.
- ability to review and edit written materials for proper content, format, grammar, punctuation, and sentence structure. Ability to compose correspondence.
- ability to handle telephone calls in a courteous and effective manner.
- skill in planning, organizing and coordinating work assignments.
- skill in researching problems, developing solutions, and communicating the findings.
