This position is located in Tallahassee, Florida
Position Overview and Responsibilities- Assists the Chief of Public Land Administration with office administrative functions. A ssists with the maintenance of the file room. Independently coordinates, conducts, organizes, evaluates and researches the review of historical files and scans documents for retention.
- Assists the bureau with the following: processes tax notices received from the Division of State Lands’ Title Section; monitors the applications in-box (through Outlook); enters application data into the Integrated Land Management System (LMS); prepares money deposit forms for applications, leases and easement fees; and submits money deposit forms to the Division of State Lands’ Revenue Section.
- Assists in fulfilling the division’s noticing requirements per statute, including maintaining noticing contact lists, preparing correspondence, sending notices and maintaining files to insure receipt of documentation.
- Provides administrative support to staff to include receiving and distributing mail; recording, tracking and reporting assignments; managing meeting reservations and calendars; tracking correspondence control assignments and ensuring timely submittal of responses; making travel arrangements; providing file research, organization and records retention support; assisting with property inventory tracking; answering telephone calls in a professional, courteous and effective manner; and accurately transmitting information to the appropriate staff.
- Assists with supply, equipment and space needs.
- Performs special projects when assigned.
- Performs other duties as assigned.
Knowledge of: Standard business formats and styles for letters and business forms; office procedures and practices; the principles and techniques of effective communications; and the methods of data collection.
Skill in: Using a computer.
Ability to:
Organize files and other records; compile and analyze data for administrative decisions; organize and maintain records management systems; perform basic arithmetical calculations; use correct spelling, punctuation and grammar; type letters, memoranda and other standard business forms in correct format; operate general office equipment; handle telephone calls in a courteous and effective manner; plan, organize and coordinate work assignments; communicate effectively;
establish and maintain effective working relationships with others; and demonstrate teamwork.
- Possess a valid driver’s license
