Hours: Monday-Friday, hours vary with Executive’s schedule.
Role Summary:
Executive Assistant’s main role will be to provide critical operational support to the Chief Technology Officer. The Executive Assistant will ensure smooth transitioning for day-to-day functioning of the IT department, serve as the primary point on contact for internal and external parties, prepare travel arrangements for all IT staff, prepare and execute expense reports and maintain consistent and effective communication across the organization.
Duties/Responsibilities:
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication – memos, emails, presentations, reports
- Hold weekly IT meetings with IT staff to streamline communication
- Represent the IT department on any weekly calls
- Distribute correspondence as needed
Skills/Requirements/Qualifications:
- Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
- Strong Project Management exposure and background is highly preferred.
- Advanced proficiency in MS Office Suite, Powerpoint, SharePoint, Smart Sheets, Visio, Concur and other data management systems knowledge is required.
- Ability to conduct research and present data in a succinct and well-written manner.
- Ability to work independently and with professional discretion.
- Excellent writing, editing, grammatical, organizational, and research skills.
- Ability to work with a broad range of people
- Excellent time-management and problem-solving skills.
- Minimum 3 years of administrative experience
- Bachelor’s Degree
