General Description of Duties

This position is housed in the Office of Intervention and Detention Alternatives (OIDA), which is dedicated to restoring and enhancing the quality of life of the clients it serves, while assisting them in becoming productive and responsible citizens for a safer community. Work involves assisting clients and OIDA staff with appointments, inquiries, data entry, the completion of payment transactions for court-ordered services and restitution, processing court documents, and preparation of correspondence.

Essential

Duties
  • Provide customer service. Answers incoming calls on multi-line phones, routes calls, takes messages. Greets visitors in a professional manner and directs them to sign in. Update Front Desk log. Notify Officer of client's arrival.
  • Performs client intake and file management. Ensure all clients are provided correct paperwork and accurate instructions. Follows office procedures for creating intake folders for newly assigned or reinstated clients by ensuring all areas are completed prior to setting initial appointments. Create client file folder. Prepare appropriate reports and provide to Officers either daily or weekly. Process court documents through either E-Filing Portal or interoffice mail, as required, and update appropriate spreadsheet.

    Submit court documents to appropriate staff for review. Complete final review of court documents spreadsheet to ensure Court's direction is recorded.
  • Handles fee collections and bank deposits. Accept payments for court ordered services, in-person or via US mail, and accurately record transaction(s) in the point of sale system (POS). Ensure transactions are credited accurately. Verify court-ordered waivers or accruals with the provided spreadsheets to ensure accurate payment amounts for offender(s). Complete the close out process through verification of monies collected with the POS transaction reports.

    Complete the daily deposit process for transportation of monies collected to the bank, as required. Prepare the daily deposit packet for finance to include the Daily Deposit Summary and copy of the deposit slips, as required.
  • Complete reports and correspondence. Complete the Physical Contact spreadsheets and FDLE Dissemination logs daily. Completes daily calls to all clients scheduled that day with instructions to report to the Drug and Alcohol Testing Division for required testing. Document notification in the pretrial or probation modules indicating outcome of call. Contact all clients on the 24-Hour No Show Listing daily instructing them to report to the Drug and Alcohol Testing Division for make‑up test.

    Generate FTA Capias letters from the Pretrial Case Management system and mail out daily. Provide a copy of the letter to the assigned Probation/Pretrial Officer.
  • Administer alcohol testing. Serve as back‑up to Drug and Alcohol Testing Division for administering alco‑breathalyzer tests for clients and accurately entering test results in DATD module.

Difficulty

Duties are performed under general supervision based upon established office policies and procedures to meet program objectives. There are daily mandated deadlines for reports, close‑outs. Shifts in attention may result from diversion to collections, telephones, etc. Judgment must be used in making significant adjustment to unusual situations for work that is broad in scope and intricate, requiring coordination of efforts.
