We are seeking a proactive and detail-oriented Office Administrator to serve as the operational backbone of our office environment. This role is essential to ensuring smooth daily operations, supporting our team, and creating a welcoming experience for employees, guests, and visitors. The ideal candidate thrives in a dynamic environment, takes initiative, and excels at managing multiple priorities with professionalism and efficiency.
Key Responsibilities Event Coordination & Hospitality- Welcome early-arriving guests and interview candidates, ensuring meeting rooms are prepared
- Coordinate all aspects of office events, including setup, execution, and after-hours support for events, executive meetings, and company gatherings
- Prepare event materials, signage, name tags, and maintain event kit inventory
- Manage office supply inventory, procurement, and distribution to ensure seamless operations
- Oversee vendor relationships including catering coordination, gift ordering, and service deliveries
- Coordinate building access badges for new hires and visitors
- Process mailing and shipping requests, including certified mail management
- Maintain conference rooms, common areas, and breakroom to professional standards
- Manage kitchen operations including daily stocking of beverages, snacks, and supplies
- Coordinate equipment maintenance
- Ensure printers, copiers, and office technology remain operational and properly stocked
- Provide professional front desk coverage, greeting visitors and managing incoming calls
- Process incoming and outgoing packages through USPS, Fed Ex, and UPS
- Sort and distribute daily mail and maintain organized mail room operations
- Assist IT department with equipment shipping and conference room technology
- Support new hire onboarding with onboarding gifts and equipment distribution
- Provide accounting support through invoice processing and check log maintenance
- Collaborate with HR on document distribution and file management
- Support both remote and onsite administrative teams as needed
- Proven experience in office administration, facilities management, or related role
- Exceptional organizational skills with strong attention to detail
- Ability to prioritize multiple tasks and adapt to changing needs
- Professional demeanor with excellent interpersonal and communication skills
- Self-starter who takes initiative and works independently
- Proficiency with standard office equipment and technology
- Flexibility to occasionally support after-hours events
