Position Title:
Secretary Specialist OPS
Hourly Rate: $16.23
Work Hours:
Monday‑Friday 8:00‑17:00
- Support the Child Care Regulation Management Team and community members by providing information on Child Care Regulation.
- Greet childcare clients, providers, and the public by phone, email, and in person; direct them appropriately and handle routine requests.
- Date‑stamp incoming mail and other documents; distribute to appropriate staff.
- Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Assist with purchasing processes in MFMP; track invoices and process payments in a timely manner to ensure providers are paid promptly.
- Follow all DCF policies, Child Care Regulation Program policies, data security, confidentiality, and background screening requirements.
- Perform complicated secretarial, administrative, and office managerial duties.
- Manage routine correspondence and disseminate these correspondences accordingly.
- Prepare and maintain reports/logs for Administrative Complaints per region’s request; manage tracking systems to keep Licensing Manager, Child Care Licensing Supervisor, and counselors informed of changes and amendments.
- Investigate research on special projects; develop supporting data and materials for the Child Care Licensing Manager and Licensing Supervisor in meetings and public speaking engagements.
- Order supplies and submit payments for various services provided.
- Maintain the Region’s Child Care Regulation filing system in accordance with identified procedures.
- Complete other duties as assigned.
- 2+ years of experience in office management, data entry, or clerical work.
- High School Diploma required.
- Proficiency in computer programs such as Excel, Microsoft Office, Notepad, Outlook, and other office software.
- Analytical and problem‑solving skills.
- Ability to write comprehensive and cohesive reports that are detailed and objective.
- Strong organizational, time‑management, and multitasking skills; maintain confidentiality and adapt to changes.
- Reporting skills, administrative writing, Microsoft Office, managing processes, organization, analyzing information, professionalism, problem solving, supply management, inventory control, verbal communication.
English/Spanish proficiency is a plus.
Driver’s LicenseRequired.
