- This professional position provides administrative, budget, and procurement support in the Office of Rural Health (ORH) in the Division of Emergency Preparedness and Community Response.
- Functions with a high degree of initiative and accuracy; assignments range from routine to complex tasks, research, and coordination.
- Acts as the administrative secretarial support for the ORH and its program administrator, ensuring all administrative responsibilities are carried out efficiently.
- Serves as the correspondence liaison, record management liaison and STMS liaison for the ORH.
- Back‑up to the BEMO phone operator and Division operator when needed.
- Assists the ORH with administrative duties related to the management of ORH contracts, including maintaining contractual records, correspondence, monitoring compliance, contract close‑out, and facilitating ongoing issues and changes to the contracts (e.g., extensions, renewals, amendments).
- Serves as the ORH budget liaison to the bureau budget coordinator to track and monitor office expenditures; assists with the monthly reconciliation of ORH grants and validates charges to each grant and category.
- Assists with budget corrections, reports, L ’s, BIPS, and budget amendments for the ORH.
- Coordinates activities with the procurement office to facilitate purchases for the ORH, including purchases for ORH projects and supplemental grants that may be located within other bureau offices.
- Other duties as assigned.
- Knowledge of Microsoft Word, Excel, Financial Information System (FIS), and FACTS.
- Basic understanding of state laws and regulations governing contracting requirements.
- Completion of DOH Basic Contract Management Training.
- Experience supervising, managing, or leading teams is preferred.
- Professional experience in social services, public health, or health care education is preferred.
- Demonstrated critical thinking skills, flexibility, innovation, and a desire to improve health care for Florida’s rural residents.
- Ability to become a Florida Certified Contract Manager within one year of signing the position description.
