Position Vacancy AnnouncementFlorida A&M University's Office of the Controller is pleased to announce the acceptance of qualified applications for the Coordinator, Accounting vacancy.
ResponsibilitiesThis position involves supervisory and accounting work that requires the application of accounting and auditing concepts in accordance with regulations governed by state and federal agencies. The role demands knowledge and understanding of Florida Statutes 215.422, performing complex accounting tasks related to capital assets (capitalization, depreciation, disposals, transfers), and reporting to the Associate Controller. The position provides direct oversight of the Accounts Payable and Document Imaging operations, supervising two program assistants and four accountants.
- Directly supervise Accounts Payable and Document Imaging operations.
- Inform subordinates of all relevant University regulations and internal operating procedures.
- Provide access to related documents.
- Ensure compliance with University regulations, Florida statutes, and internal operating procedures.
- Conduct and document performance evaluations promptly per University guidelines.
- Employ accountability measures for compliance.
- Supervise, train, mentor, and conduct performance reviews for AP processors.
- Manage Accounts Payable & Vendor Management.
- Monitor vendor payments for compliance with prompt payment guidelines.
- Track invoice processing, production errors, budget exceptions, unposted vouchers, invoice resolution, and document management.
- Assist with processing invoices for payment when necessary to ensure payment compliance and troubleshoot vendor and invoice payment issues.
- Resolve complex vendor inquiries or discrepancies.
- Work closely with other departments to resolve invoice and payment issues.
- Review policies and procedures for efficiencies and recommend process improvements.
- Manage the Invoice Resolution queue and spreadsheet to ensure invoices over 25+ days are escalated and resolved in a timely manner.
- Collaborate with General Accounting, Financial Reporting, Human Resources, Contracts and Grants, and Cash Management teams.
- Assist in preparing work papers for year-end financial statements and other fiscal reports.
- Support preparation of 1099 Forms.
- Perform day‑to‑day operations, month‑end and year‑end closing, and financial statement preparation.
- Assist in maintaining financial accounting systems and ensuring internal controls.
- Bachelor’s degree in an appropriate area of specialization and two (2) years of related experience.
- or Master’s degree in an appropriate area of specialization.
- Additional requirement: possession of a State of Florida CPA certificate (may be required).
- Highly proficient knowledge of electronic data processing as it applies to fiscal and accounting activities.
- Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
- Ability to analyze, understand, and interpret policies, procedures, goals, and objectives.
This is an Administrative and Professional (A&P) position.
