Office Staff – Shipping & Receiving (Warehouse)
Location: Florence, SC
Reports To: Warehouse Manager
Pay Rate: $17.00 per hour
Schedule: Monday-Friday | 7:00 AM – 5:00 PM
The Office Staff – Shipping & Receiving supports daily warehouse operations by coordinating shipment documentation, scheduling, and communication with internal teams, carriers, and customers. This role ensures all inbound and outbound shipments are accurately processed, documented, and compliant with company policies and regulatory requirements.
Essential Duties & ResponsibilitiesShipping & Receiving Coordination
- Monitor all inbound and outbound shipments, including new and existing routes.
- Prepare, review, and distribute shipping documentation such as Bills of Lading, packing slips, and related forms.
- Verify shipment details against purchase orders and inventory records.
- Communicate shipment schedules, changes, and delays to drivers, carriers, and internal departments.
- Maintain accurate shipment tracking logs.
Documentation & Recordkeeping
- File, archive, and maintain shipping, receiving, and inventory documentation.
- Accurately enter and update data in the Warehouse Management System (WMS) or SAP.
- Review shipping invoices and freight charges for accuracy, when applicable.
Customer & Carrier Communication
- Respond to customer inquiries regarding shipment status and delivery timelines.
- Coordinate pickup and delivery schedules with carriers.
- Assist supervisors with claims related to missing or damaged shipments.
Inventory & Compliance Support
- Assist with cycle counts and reconciliation of inventory discrepancies.
- Ensure compliance with company policies, safety standards, and regulatory requirements (DOT, OSHA, hazardous materials, when applicable).
- Maintain confidentiality of company and customer information.
Administrative Support
- Answer and route phone calls, text messages, and emails appropriately.
- Maintain office supplies and notify management of replenishment needs.
- Assist with reports, spreadsheets, and operational summaries for management.
- High school diploma or equivalent required (some college preferred).
- 1-3 years of experience in shipping/receiving, logistics, or warehouse office support.
- Strong organizational skills with excellent attention to detail.
- Proficiency in Microsoft Office (Word, Excel) and warehouse/ERP systems.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
- Primarily office-based with occasional time spent on the warehouse floor.
- Ability to lift up to 50 lbs occasionally (paperwork, small parts, automotive batteries).
- Accuracy and timeliness of shipping and receiving documentation.
- On-time preparation of shipment and route paperwork.
- Effective communication with carriers, drivers, and internal teams.
