Job Description

The Operations Analyst ensures the financial integrity of the gift giving and record keeping processes. This role is primarily responsible for accurate gift processing, financial reconciliation, audit readiness, and ensuring complete alignment between Development and Finance. It also oversees donor database management, reporting, and analytics to support fundraising strategy and organizational accountability. This position will ensure superior customer service to all internal team members and other stakeholders of the organization.

All activities will support the organization’s mission, culture and strategic plan objectives.

ESSENTIAL JOB FUNCTIONS Financial Reconciliation & Compliance
  • Create and maintain a positive work environment in alignment with the Company core values.
  • Lead daily, monthly, quarterly, and annual reconciliations between Development and Finance in accordance with FBEM and Feeding America standards.
  • Ensure accurate gift entry, posting, fund creation, and tracking of gift restrictions.
  • Compile financial and non‑financial data for the preparation of internal reports, compliance records, grant billings, analysis, budgets and audits.
  • Maintain strict data accuracy and documentation standards to safeguard financial integrity and compliance.
  • Identify and resolve discrepancies between development records and financial reports.
  • Manage documentation of various formats to ensure compliance of all reporting requirements.
Gift Processing & Database Management
  • Process, code, and acknowledge all gifts and pledges in accordance with established financial and development policies.
  • Manage the donor database to ensure accuracy, confidentiality, and data integrity.
  • Maintain efficient systems for data entry, cleansing, reporting, and donor record management.
  • Notify appropriate leadership of major gifts for stewardship coordination.
  • Serve as primary contact for donor and database‑related inquiries.
Reporting & Donor Analytics
  • Prepare financial and fundraising reports, dashboards, queries, and donor lists for leadership.
  • Conduct donor and prospect analysis to support targeted appeals and fundraising strategies.
  • Produce giving histories, prospect profiles, segmentation lists, and cultivation reports.
  • Apply basic forecasting and analytical techniques to support revenue planning.
Development Support
  • Support Development and Marketing initiatives, including campaigns, direct mail, and special events.
  • Maintain accurate event registration and constituent communication lists.
  • Coordinate distribution of donor communications, including annual reports and year‑end statements.
  • Recommend and implement process improvements to enhance operational efficiency.
General Expectations
  • Maintaining reliable attendance to meet critical deadlines is an essential function of this role.
  • Adhere to FBEM policies and maintain strict confidentiality.
  • Perform other duties as assigned.
Qualifications Education
  • Associate degree or equivalent experience preferred; 2–4 years of database management, gift processing, or financial reconciliation experience required.
Experience
  • Experience with nonprofit fundraising databases (Raiser’s Edge/Blackbaud RE NXT preferred).
  • Strong experience in gift processing, financial reporting, and reconciliation.
  • Advanced proficiency in Microsoft Excel and Word.
Knowledge, Skills & Abilities
  • Strong understanding of financial controls, reporting, and reconciliation processes.
  • Experience in donor analytics and prospect research.
  • Exceptional attention to detail and accuracy with financial data.
  • Strong organizational and time management skills.
  • Ability to work independently and collaboratively.
  • Excellent written and verbal communication skills.
  • Ability to work occasional evenings and weekends as needed.
Additional Information WORKING CONDITIONS

Primarily office‑based with extensive computer use.

Occasional physical activity for event support is required. Work schedule may vary to accommodate events and community activities.
