We are seeking a dynamic and detail-oriented Bids & Contract Administrator to join our team and drive the success of our procurement and contractual processes. In this pivotal role, you will manage the entire lifecycle of bids, proposals, and contracts, ensuring compliance with legal standards and organizational policies. Your expertise will support strategic business development initiatives, vendor management, and contract negotiations, enabling us to deliver exceptional value to our clients and stakeholders.

Responsibilities
  • Lead the preparation, review, and submission of bids and proposals, ensuring accuracy, competitiveness, and compliance with client requirements.
  • Oversee vendor management processes by evaluating supplier qualifications, maintaining vendor records, and ensuring adherence to procurement policies.
  • Ensure all contractual documents meet legal standards.
  • Conduct detailed contract reviews for scope, pricing, terms & conditions; negotiate terms effectively to maximize organizational benefits while maintaining positive vendor relationships.
  • Maintain meticulous records of contracts, amendments, correspondence, and related documentation within document management systems for easy retrieval and audit readiness.
  • Support change management initiatives by tracking modifications to contracts or proposals and communicating updates across relevant teams.
Experience
  • Proven experience in procurement processes including purchasing, vendor management, and contract negotiation within a corporate or government setting.
  • Demonstrated ability to manage complex documents using document review techniques while ensuring compliance with legal standards.
  • Skilled in negotiation tactics with a track record of fostering positive contractor relationships while achieving organizational goals.
  • Excellent technical writing skills for preparing proposals, reports, and contractual documentation that are clear and comprehensive.
