Overview

The Forest Program Contract Manager is responsible for contract, financial and related operations activities for the Arizona Business Unit's Forest Program. This position reports to Arizona's Forest Program Director and is based in Arizona. This is a temporary full-time position (up to 2 years).

The role supports development, monitoring and management of project contracts, budgets and funds across all Forest Program strategies, in collaboration with the Forest Program Director.

Responsibilities & Scope
  • Perform multiple contract, agreement and financial functions to support the Forest Program's strategic priorities.
  • Assist with developing and monitoring project contracts, budgets and funds; understand program strategies and related public agreements and vendor contracts.
  • Maintain and track agreements and contracts using available systems; help develop systems to assign responsibilities and execute tasks.
  • Provide targeted training related to program agreements and contracts; implement processes to improve efficiency and effectiveness.
  • Coordinate activities with multiple variables, set realistic deadlines and manage timelines; provide guidance on policy and procedure compliance.
  • Communicate with internal and external sources to convey information and ensure successful execution of program activities; assist staff with decision making and workflow improvements.
  • Takes direction from the Forest Program Director and remains accountable to them.
  • A. Vendor Contract Management (65%)
  • Coordinate vendor contracting for multiple projects; help prepare scope of work; support internal documents and approval processes.
  • Assess contract risk factors and coordinate with legal, Grants, and Contracts staff; collaborate with Grants on public awards and with Contracts on private funds.
  • Support vendor selection with the Program Director and external partners; engage with contractors as appropriate; approve invoices and address discrepancies.
  • Maintain tracking for project costs and deliverables; provide reports and ensure access to information for the Program Director, staff and primary contractors.
  • May become a TNC certified contracts specialist and share responsibilities with Arizona Operations / grant staff regarding vendor contracts.
  • B. Project Coordination on Agreements / Federal, Public, Private (20%)
  • Support development and modification of Program agreements; assist with reporting and budgeting for agreements.
  • Assist with internal approvals processes.
  • C. Other (approximately 15%)
  • Participate in Forest Program, Operations, AZ BU, Division, Regional and TNC-wide meetings; perform administrative tasks and prepare reports; manage own administrative tasks (expense reports, timecards, etc.).
  • May support office management; take meeting notes; perform other duties as assigned.
What You'll Bring
  • Bachelor's degree and 3 years' related experience or equivalent combination.
  • Experience organizing and tracking data, generating reports and interpreting data.
  • Working with computers and software (Windows, Microsoft Office, Box, Teams, browsers, internet research); strong business writing, editing and proofreading skills; time-management across diverse activities.
  • Ability to coordinate administrative processes and communicate effectively across teams.
  • Youth certified (completes TNC training within initial 30 days of employment; annually thereafter).
DESIRED QUALIFICATIONS
  • Five–7 years' experience in tracking financial data and product deliverables or working with contracts.
  • Experience tracking incoming contracts and related expenditures; experience reviewing vendor contracts.
  • Experience interpreting guidelines to achieve results; experience in a metrics-driven culture.
  • Multi-lingual or cross-cultural experience is appreciated; strong analytical and problem-solving skills.
  • Ability to learn and navigate enterprise software; database skills for data management and reporting.
