Job Title: Receptionist / Administrative Assistant
Location: The Gables of Fitchburg – 935 John Fitch Highway, Fitchburg, MA
Schedule: Monday through Friday, 7:00 AM – 11:00 PM
Compensation: $18.00 per hour
Position Type: Full-Time, Non-Exempt, Non-Managerial

Position Summary:

The Gables of Fitchburg is a warm, resident-focused assisted living community committed to enhancing the lives of seniors through compassionate care and supportive services. We are seeking a Receptionist / Administrative Assistant who is motivated by a genuine desire to work with seniors and collaborate with managers to help foster a positive, welcoming, and caring environment. This individual will serve as the first point of contact for all guests and play an integral role in daily operations.

Key

Responsibilities:

Front Desk & Access Control

  • Greet all visitors, vendors, and family members warmly and professionally.
  • Monitor and manage visitor access to ensure the safety of our residents.
  • Answer all incoming telephone calls and take accurate, detailed messages.
  • On occasion and at the direction of management, contact and communicate with residents' family members and outside customers.

Clerical & Administrative Support

  • Enter staff schedules into the payroll/timekeeping system and verify accuracy.
  • Perform general administrative tasks for the Executive Director, Marketing Director, and Resident Care Team.
  • Assist with marketing materials, wellness documentation, and project coordination.
  • Support the Activities Director during events and programming as needed.
Qualifications:
  • High school diploma or equivalent required.
  • Proficiency in Microsoft Word, Excel, and data entry systems.
  • Strong verbal and written communication skills.
  • Must be a team player with a cooperative attitude and a willingness to assist across departments.
  • Ability to work independently, stay organized, and manage multiple tasks efficiently.
  • Professional demeanor and a genuine interest in serving older adults.
  • Prior experience in a healthcare, senior living, or front desk setting is a plus.
Physical Requirements:
  • Ability to sit, stand, and move around front desk area for extended periods.
  • Occasionally assist with light event setup or support.

Partial paid medical based on lenght of employment

Compliant with all Massachusetts and Federal Laws

This is an job that is hourly and salary below is based on 40 hours per week for a total of 2080 hours per year assuming some unpaid time off for vacation.
