Major Job FunctionsThe following is a summary of the major essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below. In addition, specific functions may change from time to time:
- Types general correspondence, reports, memoranda, forms and team minutes
- Organizes and files various documents
- Maintains communication books/boards, unit files and attendance records
- Maintains unit schedules in collaboration with the manager
- Assists with preparation of payroll and resolution of associated issues in collaboration with Unit Manager
- Maintains financial records including entering charges and daily activity journal reports
- Maintains current policy and procedure manuals as needed
- Orders and maintains stock of CSS, storeroom and office supply items
- Participates in cost containment
- Participates in educational and Performance Improvement activities
- Other duties as assigned
The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job:
Education And Formal Training- High school diploma or equivalent required
- Associate’s degree in general office technology, or secretarial science or business administration preferred
- Completion of medical terminology course required
- 1 year of unit-based department secretary experience in a hospital setting required
- 1 year of word processing experience required
- 1 year experience with database applications, Kronos and Workday preferred
- Ability to type 60–65 words per minute
- Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, etc.)
- Ability to proofread typewritten materials, index and file correspondence, records, and reports, and organize daily work
- Capable of communicating effectively with people from various educational and professional levels and backgrounds
- Expressive ability to compose minutes/letters using proper rules of grammar, spelling, and punctuation
- Works at computer for long periods
- Sits for prolonged periods
- Ability to communicate verbally
- Auditory and visual acuity to accurately perform job functions
