Job Summary:
This role contributes to the overall success of the Hartford Health Care system by providing multi‑dimensional complex administrative support to senior leaders. The assistant works independently, creatively, and with discretion in support of a Vice President and leadership team.
- Provide efficient, accurate, and timely administrative support, including creation and preparation of reports and correspondence using advanced PC skills.
- Prepare summaries and analyses of information, consolidating input from reporting units, and coordinate completion of projects and information gathering activities.
- Screen correspondence and visitors, schedule appointments, organize meetings, and make travel arrangements while maintaining selected files for the executive.
- Engage in activities involving Human Resources, Marketing, Finance, or other sensitive and confidential issues that impact the organization.
- Respond to complex inquiries, initiate proactive research and communication, and take action based on independent judgment. When appropriate, involve others internally or externally, or refer to higher authority.
- Perform or coordinate varied and complex processes, determining appropriate methods and procedures, and possibly facilitating or overseeing the work of others.
- Provide direction and training to others as necessary and collaborate with the executive to identify growth opportunities.
- Work effectively as a professional team member within the area and with internal and external customers, providing quality service through communication, cooperation, and collaboration.
- Assume responsibility for self‑improvement and collaborate with the executive to identify growth opportunities and resources.
- Education: Associate’s degree.
- Experience: Three (3) to Five (5) years of progressive experience in senior leadership level administrative support in a large operational organization.
- Ability to read and understand oral and written instructions and to effectively communicate information.
- Proficient in Microsoft programs, including Outlook, Excel, PowerPoint, and Word.
- Basic skills in maintaining a Microsoft Teams/SharePoint site.
- Project coordination skills to independently organize large group functions, office renovation, and workforce communications.
- Highest degree of confidentiality and discretion required.
