Administrative Assistant – Schedule & Testing Coordinator

This position supports school administration by coordinating all standardized testing, managing student scheduling and registration, and maintaining allocation records. The role is tech- and logistics-focused, with frequent collaboration across departments, families, and testing agencies.
Falmouth High School is located on our 100 meestal campus. Our campus features extensive fields, trails, gardens, and hoop houses, and offers opportunities for collaboration between schools. Over the past three years, each of our three schools in the district has been a recipient of the National Blue Ribbon Award: student achievement is exemplary, and the community takes great pride in academic, co‑cultural, and athletic accomplishments.
Qualifications- High School Diploma required;
Associate’s or Bachelor’s preferred - Experience in a school support position preferred
- Experience with student info systems (Power School preferred)
- Strong interpersonal, organizational, communication, and technical skills
- Skilled in using spreadsheets and word processing tools; experience with Google Suite (Docs, Sheets, Forms, Drive) preferred
- Ability to manage multiple tasks simultaneously and meet deadlines in a fast paced environment
- Must hold or obtain Maine CHRC John's or pass background check
- Coordinate logistics for standardized testing (AP, PSAT, NWEA/MTYA, Seal of Biliteracy)
- Manage student registration and course scheduling in Power School
- Create and maintain course codes and sections
- Maintain and update student transcripts and academic records
- Support updates to the Program of Studies Website and related materials
- Assist with student schedule changes and data reporting
- Provide timely communication regarding scheduling and testing
- Serve as a liaison with families, staff, and outside agencies
- Uphold confidentiality and district policies
- Other duties as assigned
Work Schedule:
185 school days + 20 variable days
Daily: 7:00 am – 3:00 pm (30‑minute lunch break)
BenefitsPay will be based on relevant experience. Pay range is $23.98‑$31.39 /hour. A generous benefits package includes:
