At Virginia Heart, we are looking for a professional Payroll Specialist who will report directly to the Senior Accountant and is responsible for processing payroll, maintaining accurate payroll data, and answering employee inquiries. The Payroll Specialist will support the Senior Accountant and be consistent with Virginia Heart’s mission of providing excellence in cardiovascular care.

Roles and Responsibilities Payroll Processing
  • Maintain and update employees’ pay records.
  • Process bi-weekly payroll for all employees, ensuring accuracy and timeliness.
  • Review and verify timesheets, attendance, and other related information.
  • Calculate and process deductions, including taxes, benefits, and garnishments.
Compliance
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Prepare and submit required payroll tax filings and reports.
  • Stay updated on changes to payroll-related regulations and implement them as needed.
Record Management
  • Maintain accurate and confidential payroll records.
  • Update employee records to reflect changes in salaries, benefits, or deductions.
  • Manage the preparation and distribution of W-2 and 1095 forms.
Problem Resolution
  • Investigate and resolve payroll discrepancies and errors promptly.
  • Respond to employee inquiries regarding payroll, taxes, or deductions.
Collaboration
  • Coordinate with HR and finance teams to ensure proper payroll integration with benefits and accounting systems.
  • Assist with audits related to payroll records.
Reporting
  • Generate and analyze payroll reports to ensure accuracy and identify trends.
  • Provide payroll data to support financial reporting and budgeting.
Skill Requirements and Qualifications
  • BS/BA in Business Administration, Finance, Human Resources or equivalent work experience required.
  • A minimum of 3 years’ payroll processing experience with 250+ employees.
  • Proficiency in payroll systems (preferred ADP but not required) competency in Excel (pivot tables and VLOOKUPS) and other Microsoft Office products.
  • Strong understanding of federal, state, and local payroll laws.
  • Ability to work independently on multiple tasks under tight deadlines.
  • Outstanding organizational ability with excellent and accurate attention to detail.
  • Trustworthy with confidential information.
  • Excellent communication skills (written and verbal).
