Receptionist/Accounts Payable Clerk-In-Training - We are seeking a detail-oriented, organized, and motivated individual to join our team as a Receptionist / AP Clerk-in-Training. You will serve as the first point of contact for our valued clients while also supporting basic accounting and accounts payable functions. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Training is provided, with a clear growth path into expanded accounts payable and accounting support responsibilities based on performance and proficiency.
Responsibilities will include but are not limited to:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide information as needed
- Schedule appointments and maintain calendars for multiple staff members
- Perform administrative tasks such as filing, photocopying, and transcribing documents
- Manage incoming and outgoing mail and packages
- Coordinate and schedule meetings, conferences, and events
- Provide excellent customer service to clients, patients, and other visitors
- Maintain a clean and organized reception area
- Provide support to accounting staff
- Provide support for additional projects as needed
- Review and code vendor invoices for accuracy and proper account assignment using our electronic payables system (Yooz)
- Compare current invoices to prior transactions to ensure consistency and correct coding
- Route invoices for approval and assist with resolving basic vendor or coding discrepancies
- Review vendor statements and follow up on basic payables issues or discrepancies
- Communicate with vendors and internal departments to resolve missing invoices, pricing differences, or approval delays
- Assist with accounts payable processes, with training provided and the opportunity to take on greater AP responsibilities upon successful completion of basic tasks
Qualifications:
- 18 years of age or older
- High school diploma or equivalent
- Previous experience in a receptionist role is preferred but not required
- Excellent communication and interpersonal skills.
- Customer-focused attitude with a willingness to go the extra mile.
- Ability to work a flexible schedule as business requires
- Proficient in office procedures
- Excellent organizational skills with attention to detail
- Familiarity with phone systems and ability to handle multiple lines
- Exceptional customer service skills with a friendly and professional demeanor
- Computer literacy with proficiency in Microsoft Office Suite
- Ability to coordinate projects and tasks effectively
- Basic understanding of accounts payable or invoice processing is preferred but not required
- Experience reviewing or coding invoices in an electronic system is preferred but not required
- Willingness to learn accounts payable and vendor statement review processes is preferred but not required
- Strong attention to detail when working with financial documents and vendor communications
