Physical Therapy Receptionist
We are seeking a friendly, organized, and detail-oriented Physical Therapy Receptionist to join our team. The receptionist is the first point of contact for patients and plays a vital role in ensuring a smooth and welcoming experience. Responsibilities include scheduling appointments, managing patient records, handling insurance verifications, and supporting the physical therapy staff with administrative tasks.
Responsibilities- Greet patients warmly and professionally, both in person and over the phone
- Schedule and confirm patient appointments using electronic scheduling software
- Check patients in and out, ensuring all necessary paperwork is completed
- Collect co-pays and payments; process billing as needed
- Verify insurance coverage and obtain prior authorizations when necessary
- Maintain patient confidentiality and comply with HIPAA regulations
- Answer phone calls, respond to inquiries, and direct calls appropriately
- Keep the front desk and waiting area clean and organized
- Communicate with therapists and other staff to coordinate patient flow
- Perform general administrative tasks such as filing, scanning, and data entry
- Ensure all required paperwork, including intake forms and consent documentation, is accurately completed
- Obtain benefit information and referrals/authorizations if necessary
- High school diploma or equivalent (required)
- Prior experience in a medical or physical therapy office, especially in orthopaedics or rehabilitation (strongly preferred)
- Working knowledge of insurance plans, authorizations, and referrals (including workers' compensation and auto claims)
- Proficient with EMR/EHR systems and scheduling software
- Excellent customer service, multitasking, and time management skills
- Strong attention to detail and ability to work independently and as part of a team
- Front desk area of a busy Orthopaedic rehabilitation clinic
- Frequent interaction with patients recovering from surgery, athletes, and individuals with musculoskeletal injuries
- May involve long periods of sitting, with occasional light lifting or movement
- Collaboration with a team of physical therapists, physician liaisons, and administrative staff
Candidates will be courteous, articulate, reliable and must be able to multi-task in a busy, professional, fast-moving environment while maintaining excellent customer service.
