Position OverviewThe Administrative Assistant will provide direct support to leadership and internal teams by handling administrative tasks, managing communication, organizing files, and assisting with transaction coordination. This is a full-time, in-house role and requires strong follow-through, professionalism, and confidentiality.
Key Responsibilities- Answer and route phone calls, emails, and internal messages
- Manage calendars, appointments, and scheduling
- Organize digital and physical files
- Assist with data entry, document preparation, and form management
- Coordinate with processors, real estate agents, attorneys, and homeowners
- Track tasks, deadlines, and follow-ups
- Prepare basic reports, spreadsheets, and internal documents
- Support onboarding of new clients and partners
- Maintain office organization and systems
- Handle confidential information with discretion
- Organize President calendar and assist with daily responsibilities as needed
- Strong organizational and time-management skills
- High attention to detail
- Comfortable multitasking in a fast-paced environment
- Proficient with Microsoft Office and Google Workspace
- Strong work ethic
- Experience in real estate, legal, mortgage, or title environments
- CRM or database experience
- Full-time, stable in-office position
