Overview
Facility Coordinator to work in our Fairfax, VA office. ECS is seeking an experienced Facilities Coordinator to join the Real Estate & Facilities Department. The Facility Coordinator will support the ongoing daily operations of 25+ facilities across CONUS and within the national capital region. The Facility Coordinator will be the primary point of contact for operational vendors and contractors. Work will involve project management, planning, support, logistics and execution of service management.
Position will be located onsite at our Fairfax HQ.
- Administrative:
Create and maintain basic Excel spreadsheets and workbooks. Maintain SharePoint file repositories. Maintain Facility SharePoint database of historical documents, as-built drawings, floor plans, O&M manuals, facility points of contact, etc. - Operations:
Maintain the SharePoint facility ticketing system. Coordinate with outside vendors and internal staff to complete and close out requests. Execute internal moves required as part of ongoing operations, including physical move of furniture and equipment. Service multiple client locations concurrently, meeting deadlines. Maintain a database of different suppliers and vendors and the materials delivered by them. Ensure clients receive requested products and services in a timely fashion.
Manage service providers, including preventive maintenance, coffee/water, copiers, janitorial, cable, pest control, etc. Interpret Statements of Work (SOWs) and direct vendors on execution of scope. Maintain copy machine; change toners, stock paper, make service calls as required. Set up, take down and reconfigure conference rooms for required utilization. - Construction:
Read and interpret construction documents. Sign in and escort vendors during construction efforts. Perform light maintenance (e.g., hanging white boards, moving furniture).
- 4+ years of experience on client-focused actions and the ability to navigate a wide facility responsibility.
- Knowledge of basic tools and ability to utilize them in daily tasks.
- Ability to manage multiple projects and relationships.
- Knowledge of general office equipment and appliances (refrigerators/ice makers, copiers, coffee makers, etc.).
- Able to travel within the continental US.
- Facilities, construction, and office management experience.
- Experience working with outside vendors and consultants, including coordination, scheduling, supervision and inspections.
- Ability to work independently as well as in a team environment with the ability to prioritize tasks.
- Strong communication skills, both written and verbal.
- Valid driver’s license.
- Ability to walk and stand for extended durations.
- Ability to lift minimal weight (25 lbs.) and climb ladders as needed.
- Familiarity with office furniture installation.
- Construction/trade experience.
- Project management skills.
