Overview
Grant Summary The goal of the Hope Project is to improve mental health outcomes for children and youth at risk for or with serious emotional disturbance (SED) and to bring new hope through its comprehensive and early intervention approach for the children, youth, and their families.
Position SummaryThis position provides first-person contact for the Hope Project positioned in the front desk area. Incumbent answers all incoming phone calls as well as greets all visitors. This position is part of a collaborative treatment team assuring culturally resonant mental health intervention, treatment, and support services.
Responsibilities- Answers all incoming phone calls on a multi-line switchboard in a professional and friendly manner.
- Directs calls to appropriate staff members, programs, and/or projects, maintaining confidentiality regarding project-related issues.
- Greets all visitors in a professional and friendly manner, directing them to the appropriate staff members, programs, and/or projects.
- Receives, sorts, date stamps, and distributes daily mail.
- Assists supervisor with projects, tasks, and meeting activities as needed; including copying and preparing project packets and events support.
- Prepares, processes, and logs purchase orders for project administration.
- Schedules consumers and family members for meetings.
- Maintains office supplies and equipment for the project; provides support for project functions, including the front desk sign-in sheets and equipment checkout logs.
- Maintains a neat and clean, clutter-free, professional appearance at the front desk.
- Performs light clerical duties including typing and filing.
- Attends mandatory position training that provides training in risk factors.
- Performs other job-related duties as assigned.
- Ability to report to work on time.
- Knowledge of customer service concepts and practices.
- Excellent Customer Service Skills Are Essential.
- Understanding and sensitivity to diverse cultures and lifestyles.
- Skill in operating personal computers utilizing a variety of computer software.
- Skill in managing multiple priorities and tasks concurrently and meeting deadlines.
- Skill in oral and written communication, with the ability to accurately follow written and verbal instructions.
- Skill in establishing and maintaining cooperative working relationships with colleagues, supervisors, and consumers.
- High school diploma or equivalent, and
- Six (6) months of clerical/receptionist experience involving light clerical duties.
- A combination of experience, education, and training that provides the required knowledge, skills, and abilities to perform assigned tasks.
- Two (2) years of administrative assistant experience.
- Associate degree in business administration or related field.

Most of the work is performed in an office setting with a wide variety of people with differing functions, personalities, and abilities.
The office is a non-smoking facility with outside smoking areas. The work may require local travel between various programs of FNA which may involve exposure to extreme weather conditions. Works in an environment where the protection of client confidentiality is essential. Personal Protective Equipment will be provided where/when needed.
